    The_ I AM SECOND_ Coordinator provides the day-to-day administrative support for the financial, business and legal transactions of the organization. The coordinator is responsible for a wide range of duties such as collecting accurate information that insures a smooth accounts payable/receivable process, collection and maintenance of legal documents, business documents, product inventory and sales reports, and assisting in the external business communication for casting, public relations, and outside vendors.

    The full-time position is located in the Plano, TX office of I Am Second, working collaboratively with staff and vendors located in multiple locations around the country, supporting and consulting with the I Am Second leadership team headed by the Executive Director, and with day-to-day supervision of the Vice-President.  

    The ideal candidate will have strong analytical skills, is detail oriented and will possess the ability to work independently in a fast paced environment. This position handles confidential, proprietary information on a regular basis and represents the organization on daily interactions with external vendors, partners and organizations.

    Day-to-Day Responsibilities include: 

    • Accounts Payable: Gathering additional necessary vendor and transaction information for the accounts payable process as needed to ensure timely payables in accordance with company policy. 

    • Payable calculations: Maintain reporting for commissions due sales and project partners.

    • Accounts receivable: Instituting process for sending accurate invoices for all non-donation revenue.

    • Product Inventory: Implements process for obtaining regular merchandise product inventory.

    • Sales reporting:  Produce product and media sales reports from internal and partner platform sources.

    • Updates and maintains both digital and physical I Am Second business files.

    • Handles communication, as directed, regarding travel, logistics and schedules with those cast for films, conference and meeting attendees, and other external contacts.

    • Handles communication with vendors, as directed, regarding special project or event needs.

    • Human resources: Works with HR on communicating new hiring and termination financial information. Assists with communicating I Am Second information (on product sales, etc.) with other e3 Partners staff.

    • Legal and business documents: Works with I Am Second leadership, outside legal counsel, and project partners to ensure proper documentation and collection of legal and business documents. 

    • Monthly Financial reporting: Review monthly general ledger and P/L reports with I Am Second leadership to interpret data and correct errors.

    • Year-end activities: Assist staff and professional vendors in the preparation of year-end reports and filings.

    • Performs a variety of tasks and other duties as assigned.

    Desired Traits:

    • Computer Skills with especially high proficiency in Excel and Word
    • Detail oriented, deadline driven, organized individual able to handle multiple tasks while working independently or as part of a team
    • Excellent analytical and proven problem-solving skills
    • Commitment to meeting daily, weekly, and monthly deadlines regardless of the obstacles. 
    • Must be able to work in a team environment.

    •  Highly motivated and dedicated to contributing to the growth and success of the organization.

    Preference for:

    • Media, Accounting or similar degree
    • Accounting, legal or business experience
    • Attention to detail
    • Experience in or familiarity with a media content/distribution entity.
    • Excel experience: must be at least intermediate user
    • Google g-suite experience.

    Full Time Position:
