    Job Description

    KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

     

    • Organizing and coordinating skills.

    • Strong interpersonal and communication skills and the ability to work effectively with a wide range of constituencies in a diverse community.

    • Knowledge of grant funding policies and procedures and applicable local, state, and federal regulations.

    • Ability to prepare research reports and proposals.

    • Ability to analyze budgetary line items for compliance with budget guidelines.

    • Knowledge of mathematics.

    • Ability to make administrative/procedural decisions and judgments.

    • Knowledge of federal, state and/or community funding sources and mechanisms is preferred.

    • Ability to provide researched technical advice and information to client staff.

     

    DUTIES AND RESPONSIBILITIES:

     

    • Maintain office filing, both paper and electronically on our server.

    • Distribute/file all incoming mail.

    • Scanning documents for electronic filing.

    • General reception duties. Answer phone calls and forward messages.

    • Review of potential RFP and preparation of response proposals.

    • Ability to manage his/her time I work relatively independently.

    • Punctuality and a neat, professional appearance. We are fairly relaxed when in the office, and nice jeans (no holes, rips, bleach or tears, and modest in appearance - no low-riding pants of any kind) along with a nice blouse / polo are acceptable. Dress shoes or nice sandals are okay while in the office.

    • In the field when with clients, professional business attire is required.

    • No visible tattoos or piercings, except for earlobe earrings.

     

    TECHNOLOGY:

     

    • Proficient in operation of MS Office - Word, Excel, Outlook, Power Point and Adobe Acrobat other PDF or electronic conversion and tracking software.

    • Must be able to create professional letters, spreadsheets, presentations, etc.

    • Internet - strong ability to perform internet searches and find information that is on the public record. We will train the new employee on the specific tools we use for some of this, but much of what we do comes straight from the world wide web.

    • Must be able to navigate to the correct client government websites, download the latest version of forms, and complete.

    Title: Grants Administration Assistant

     

    JOB DESCRIPTION:

     

    Oversight and directs activities associated with grants and grant contract management. Reviews grant proposals and identifies and resolves compliance issues and related sponsor requirements. Interprets pre-award and post-award regulatory guidelines. Analyzes changes in regulations and their effect on grant operations, administration, project costs and reimbursements.

     

    Develops financial accounting systems to track expenditures for all programs. Audits individual client project accounts to ensure compliance with applicable regulations. Brings instances of non-compliance to the attention of Guardian or client senior staff. Acts as a liaison with various local, state, and/or federal departments and staff. Assist with client intake, collection and verification of recipient applications and related documents.

     

    Develops and prepares operational, financial, and statistical reports for client and regulatory agencies. Administers policies and procedures in accordance  with local, state, and federal policy guidelines. Assist in the oversight for both pre-award and post­ award activities. Works alongside client mid-to-senior level administrative team in decision making and grant implementation. Attend public meetings, intake, and other related on-site activities as needed.

     

    Performs related responsibilities as required.

     

    MINIMUM QUALIFICATIONS:

     

    • An associate's degree in one of the following fields: Political Science, Human Services , Business Management, Finance, or a related field.

    • One (1) year of professional grants, government, or closely related area management experience.

    • Ability to communicate in English via spoken and written word. Spanish is not required, but is viewed as a special qualification factor.

    • Ability to travel as necessary, may include some overnight.

     

    Primary hours of operation: Monday- Friday, 8AM -  5PM -  40 hour work week Per Hour salary range: Based on qualifications.

    Environmental  Conditions

    The incumbent is exposed to the following conditions in the job:

    Warehouses with no climate control, potentially hazardous equipment (such as forklift trucks, mechanical lift gates, hand tools, manual material handling equipment, ladders, and rubber retention straps). The Profit Center may stock, sell and use hazardous materials - PVC pipe cement, pool chemicals, torch gas, propane gas, solvents, etc. You may be required to handle these materials.

    FLSA Status

    Non-Exempt (Hourly)
