Internal Operations Manager
Key Responsibilities:
Process Optimization
- Refine and improve internal systems with the Finance, Client Services, Scheduling, and HR Departments.
- Create and document standard operating procedures (SOPs) for office operations.
- Address and resolve operational issues and conflicts that arise, finding effective solutions to ensure smooth operations.
- Participate in developing and implementing operational strategies and plans, contributing to the company's overall goals.
- Design and implement purchase order system to control costs.
Workflow & Communication
- Manage communication between leadership, sales, office staff, and field crews to ensure alignment.
- Identify opportunities for cost savings, better job workflows, and smarter resource use.
- Oversee utilization of Real Green and continually improve efficiency by finding new uses, reporting, and functions of the software.
- Coordinate with IT company to troubleshoot any technology issues including iPads. Serve as primary liaison with Verizon to manage company mobile phones, service plans, and account changes.
- Creatively look for ways to reinforce and solidify the core values and mission of the company.
Compliance & Documentation
- Maintain updated safety procedures and ensure OSHA compliance.
- Ensure that the company's internal policies are followed (Employee handbook/ Sales Team Manual, etc).
Inventory
- Produce and oversee inventory system for materials and equipment with Fleet Manager and Shop Manager, ensuring that supplies are readily available and costs are controlled.
- Manage and oversee budgets for internal operations, ensuring that expenditures are within allocated limits and that cost-saving measures are implemented.
Office & Resource Management
- Oversee office operations including supply orders, equipment servicing, and vendor coordination.
- Supervise, train, and evaluate performance of office staff, ensuring they have the skills and resources needed.
Crew Management
- Track crew performance, attendance, and safety compliance.
- Work with the scheduling team to ensure work orders and maintenance schedules are accurate and delivered on time.
- Resolve logistical or scheduling conflicts quickly and effectively.
- Identify patterns or issues affecting job profitability and efficiency.
- Monitor KPls such as job completion rate, customer satisfaction, crew efficiency, and material waste.
- Oversee daily scheduling of crew members and organize/ communicate scheduling changes due to weather delays or cancellations.
