    Job Description

    The Proposal Specialist is part of the IFS North America Regional Presales team and is vital in preparing RFx and proposal documents for prospects and customers. This role is part of a team that prepares responses to proposal requests in their respective variations (e.g., Request for Information, Proposal, Quotation, and Questionnaires) of altering difficulty levels. All documents must accurately describe value-anchored IFS solutions compellingly, convey their value proposition, and meet all established guidelines and RFx directives.

    This position is critical in enabling IFS to win new business. The Proposal Specialist reports to the Team Lead and supports various stakeholders: Sales, Presales, Delivery, Partners, and other business units. Having project management skills to coordinate the team's efforts and put together compliant, concise, and clear responses is imperative. Ultimately, to succeed in this role, the candidate should understand the importance of accuracy and teamwork and have a deep sense of accountability and urgency when completing deliverables.

    ** Key Objectives:**

    The Proposal Specialist is responsible for supporting sales efforts to meet IFS business and revenue objectives through the following activities:

    • Work closely with the IFS North America Regional Sales and Presales leadership to develop RFx responses timely.
    • Understand IFS product capabilities and industry requirements at a detailed level to develop and edit content appropriate for each prospect.
    • Have a solid working knowledge of content development and publishing tools to generate professional-looking documents.
    • Have a solid command of the English language, coupled with strong writing and editing skills to combine content from multiple Subject Matter Experts (SME) into one coherent and compelling narrative.
    • Work closely with IFS North America and Global resources in support of standard methodologies, shared collaterals, and implementation of best practices.
    • Work closely with the IFS industry and marketing team(s) to understand and improve our industry and product messaging.
    • Assist in the continued transformation of IFS as the company scales further in its rapid growth phase.

    ** Duties and Responsibilities include, but are not limited to:**

    • Act as the Point of Contact for assigned projects.
    • Develop a plan to address RFx responses using established processes, which may include:
      1. Setting up and running kick-off and check-in calls.
      2. Engage all appropriate parties based on region, product mix, and other criteria.
      3. Establishing internal and communicating external deadlines.
      4. Setting up response documents.
      5. Provide start-up content for all company, services, support, and technical requirements.
      6. Collaborating with SMEs in creating compelling and personalized narratives when needed.
    • Dispatch work to functional, services, and technical teams to develop content or review and approve responses.
    • Integrate content received from different collaborators and ensure consistency.
    • Provide content and answers based on standard materials and collaterals where appropriate.
    • Working with the Sales organization to understand the prospect's use case and adjust responses to compellingly address the prospect's interests.
    • Ensure discipline of excellence and passion for every customer engagement.
    • Acquire and maintain relevant knowledge of specific IFS products and services, including roadmaps and collaterals.
    • Continually embrace new functional and technological products, solutions, and collaterals.
    • Assist in organizing and maintaining a standardized library of response content.
  • Qualifications

    Qualifications

    • A good understanding of enterprise business software solutions and technologies.
    • Experience and familiarity with Enterprise Resource Planning (ERP), Enterprise Asset Management (EAM), or Service Management solutions.
    • Strong editorial skills and a relevant knowledge of modern publishing tools and platforms.
    • Solid knowledge of the Microsoft Suite.
    • Good working knowledge of industry requirements, norms, and general expectations related to ERP / EAM / Service Management solutions.
    • Creativity and excellent problem-solving skills.
    • The ability to communicate clearly and concisely.
    • Able to work in a dynamic environment with frequent schedule and requirement changes.
    • Bias toward being proactive rather than reactive.
    • Bachelor's Degree and experience required.
    • Basic content management skills are highly desired.
    • Ombud experience is preferred.
