The Role:
We're looking for an Executive Administrative/Personal Assistant to join our team! Reporting to our CEO, you will provide outstanding daily personal support and thrive in a fast-paced environment. This is a perfect role for someone who takes initiative, is intuitive, and resourceful. The ability to multitask is essential in this position, while also maintaining complex schedules, and managing the household.
The ideal candidate is highly organized, able to problem solve and think on their feet and likes to work in a constantly changing environment. Your creativity, passion, attention to detail, and exceptional approach to follow through will be critical in supporting the CEO and bringing order to their life. Although this position may offer some remote work flexibility, this role will be based in our New York office.
In this role you will:
Help our CEO run their day-to-day, from scheduling personal appointments to personal travel, you will keep everything running smoothly
Assist, help process, and manage expenses for the CEO in a timely manner
Manage and work with our HR team on employee related tasks
Coordinate and manage domestic and international travel, transportation and accommodation and provide ongoing support as needed
Coordinate with our CEO's admin to provide additional support in scheduling daily meetings and updating calendars for the CEO
Work independently at a fast pace
Complete other duties as assigned
Manage our CEOs calendar, helping juggle his professional and personal activities
Compile data and format information for internal and external communication – memos, emails, presentations, reports
What we're looking for:
3+ years of work experience with personal support to high-level executives
Experience with Google-Suite (Gmail, Calendar, Docs, etc.) is preferred
Ability to thrive and prioritize in a fast-paced environment
Provide support and be accessible outside of traditional business hours if needed
Strong attention to detail
Comfort and familiarity in dealing with highly confidential information
Ability to deal with ambiguity and work independently
Strong verbal and written communication skills
Excellent time management skills
Ability to complete complex tasks quickly with little to no guidance and react with appropriate urgency to situations that require a quick turnaround
Demonstrated ability to design and improve processes
Ability to prioritize and handle multiple assignments at any given time
High level of integrity and discretion
