    Job Description

    SUMMARY: The Accounts Payable Specialist is responsible for the processing of financial transactions related to all company purchases and expenses. The position pays third parties by scheduling and preparing checks, reviewing and resolving purchase orders, ensuring credit is received for outstanding bills, and issuing stop-payments or purchase order amendments. The A/P Specialist also contacts vendors for W-9’s and to revise invoicing. To be successful in this role, the position is expected to maintain meticulous records of outstanding payables and assist the Controller with tasks related to month and year end closings.

    EXPERIENCE:

    • Managing accounts payable using accounting software.
    • Reviews all invoices for correct pricing, appropriate documentation and approval prior to payment.
    • Manages accounts payable using accounting software.

    • Analyzes workflow processes.
    • Establishes and maintains relationships with new and existing vendors. 
    • Ensures bills are paid in a timely and accurate manner while adhering to departmental procedures.
    • Processes due invoices for payments. 
    • Compares purchase orders, prices, terms of payment and other charges.
    • Processes transactions and performs accounting duties such as account maintenance, recording entries and reconciling books of accounts.
    • Orders all office supplies as requested and approved by the Controller.
    • Reconciles and processes all American Express card charges for the company.
    • Reconciles and processes all Wex gas card charges for the company.
    • Assists in ACH payments, working closely with the Controller.
    • Protects organization's value by keeping information confidential.
    • Organizes and maintains vendor files.
    • Utilizes computerized accounting software programs (Distribution One, Excel, Word) to perform duties and responsibilities.
    • Assists in inputting purchase orders as needed.
    • Performs other accounting department/clerical duties as needed.

    EDUCATION, AND SKILLS REQUIRED:

    • 3-4 years hands-on accounts payable experience a must,
    • Microsoft Office and Excel proficiency required. Experience with spreadsheets and automated accounting systems required.
    • Ability to multi-task, prioritize and work efficiently.
    • Ability to listen, communicate (written and verbal), and follow-up effectively with all staffing levels and customers.
    • Ability to work independently, self-starter, energetic.
    • Ability to consistently demonstrate a pleasant demeanor, good common sense and sound judgment.

    EDUCATION:

    • High School Diploma or GED equivalent required, college level accounting classes or Accounting Degree preferred.
