Job Description
Under the direct supervision of the IMI NORGREN FARMINGTON SITE FINANCE DIRECTOR, this position provides administrative support for the site senior management team. In addition to typing, filing and scheduling, the role performs duties such as meeting, conference and special event coordinating, obtaining and managing office supplies, managing the mail, and working on special projects. The role answers routine and non-routine correspondence and assembles highly confidential and sensitive information. The role deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize a diversified workload, recommend changes in office practices or procedures when warranted and effect those changes when authorized.

- Schedules and organizes complex activities such as meetings, travel, conferences and department activities for all senior managers, as requested.
- Performs desktop publishing. Creates and develops visual presentations.
- Establishes, develops, maintains and updates filing system for the department. Retrieves information from files when needed.
- Organizes and prioritizes large volumes of information and calls.
- Sorts and distributes mail. Opens mail for the Finance Director.
- Drafts written responses or replies by phone or e-mail when necessary. Responds to regularly occurring requests for information.
- Answers phone calls to site main number and for General Manager and Finance Director. Takes messages or fields/answers all routine and non-routine questions. Works in cooperation with other administrative departments to ensure continual phone coverage.
- Applies 5S practices to all administrative functions, including office and executive supplies, with emphasis on continuous improvement and supply inventory management.
- Manages executive expense reporting as requested.
- Develops and maintains professional working relationships with other divisional functions and departments as well as customers and vendors providing administrative support services.
- Acts as a liaison with other departments and outside agencies and companies, including high-level staff such as CEOs, presidents, senior vice presidents and chiefs. Handles confidential and non-routine information and explains policies when necessary.
- Works independently and within a team on special nonrecurring and ongoing projects. Acts as project manager for special projects, at the request of the General Manager and Finance Director, which may include planning and coordinating events and presentations, collecting or disseminating information, non-routine reporting and other activities
- Drafts general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads documents for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Supports and adheres to divisional and corporate policies and procedures.
- Completes other duties as assigned in a timely, accurate manner
EDUCATION AND EXPERIENCE
- High School Diploma with minimum five years related experience, preferably in a manufacturing setting
or
- Associates degree with minimum three years experience, preferably in a manufacturing setting
COMPUTER SKILLS
- Proficient in MS Office Suite (Excel, Word, PowerPoint & Outlook)
- ERP systems
