A leading investment firm is seeking an experienced Executive Assistant to support its Legal team. This role partners closely with attorneys and senior stakeholders across the firm and is well-suited for someone who is highly organized, detail-oriented, and comfortable handling sensitive information in a lean, fast-paced environment. This position follows a hybrid schedule and is on-site three days per week.
Responsibilities:
• Manage complex calendars for senior legal leaders, including coordinating internal meetings, external counsel calls, and cross-functional discussions
• Prepare and organize materials for board meetings, investment committee meetings, and other legal-related forums
• Oversee document management processes, including drafting correspondence, formatting agreements, tracking signatures, and maintaining organized electronic filing systems
• Serve as a liaison between Legal, Compliance, Finance, and external counsel to ensure timely communication and follow-through
• Track key deadlines related to regulatory filings, contracts, and governance requirements
• Coordinate domestic and international travel arrangements and prepare detailed itineraries
• Process expenses and assist with budget tracking for the Legal function
• Support onboarding and offboarding logistics for legal team members, including documentation and system coordination
• Provide project support and handle ad hoc administrative initiatives as needed
Qualifications:
• 5+ years of executive assistant experience, preferably supporting Legal, Compliance, or senior leadership within private equity, hedge fund, asset management, or broader financial services
• Strong understanding of legal documentation workflows and confidentiality standards
• Exceptional organizational skills with acute attention to detail and accuracy
• Advanced proficiency in Microsoft Office, particularly Word, Excel, and PowerPoint
• Ability to manage multiple priorities and deliver under tight timelines
• Clear, professional written and verbal communication skills
• High degree of discretion and sound judgment when handling confidential information
• Proactive, resourceful, and solution-oriented with a strong sense of ownership
• Comfortable operating in a lean, collaborative team environment with broad responsibility
