This position is based in Santa Clarita, CA ABOUT THE ROLE The Personal & Administrative Assistant will work directly with the company executive. This position is mainly responsible for managing household tasks, with some administrative tasks, both personal and business related. This is a full time position with a schedule of 10 am to 7 pm with some flexibility needed for weekends and travel. We are looking for an assistant to work closely with the company executive on a daily basis. This position would need to be located near the Santa Clarita area and is a hybrid role of in-office and remote work. GENERAL OVERVIEW Organizing the household, including shopping, organizing food prep, shipping, etc. Scheduling car service and other travel arrangements. Maintaining comprehensive and accurate personal and business records. Providing administrative assistance, such as writing and editing e-mails, drafting memos, and preparing communications on the executive's behalf. Help prepare for internal and external in-person and virtual meetings, events, and presentation. Performing minor accounting duties - expense tracking, conference calendar, etc. Organizing meetings and events, including scheduling, sending reminders, and catering when necessary. Accurately recording meeting minutes and notes for internal and external meetings/calls. Come up with thoughtful and memorable gift ideas for clients and staff. Managing the appointments and prioritizing the most sensitive matters. Take and maintain lots of photos for scrapbooks. Remain organized in the face of chaos. Must maintain complete discretion due to access to highly confidential information.
