IT Project Coordinator I
Position Summary The IT Project Coordinator is responsible for supporting and coordinating day-to-day IT project activities to help ensure projects are completed on time and organized effectively. This role focuses on communication, scheduling, documentation, task tracking, and coordination between internal teams, vendors, clients, and field personnel.
This position also requires regular field visits to observe project activity, gather updates, verify equipment or installation progress, and support communication between onsite teams and office staff. This is a coordination-focused role and not a formal IT Project Manager position.
Key Responsibilities
Coordinate day-to-day activities for IT and technology-related projects
Track project tasks, timelines, deliverables, and follow-up items
Schedule meetings and maintain project calendars
Prepare meeting agendas, notes, status updates, and action-item tracking
Maintain project documentation, spreadsheets, and project records
Communicate project updates to internal teams, vendors, clients, and leadership
Conduct field visits to observe project progress, installations, deployments, or support activities
Document field observations and report progress, concerns, delays, or issues to leadership
Support communication between field technicians, installers, vendors, and office teams
Assist with coordinating equipment deliveries, resources, and project logistics
Monitor project progress and escalate concerns when needed
Ensure project records and documentation remain accurate and up to date
Support onboarding and coordination activities for project-related personnel when needed
Qualifications
2+ years of experience in project coordination, IT support coordination, operations coordination, or related roles
Experience supporting IT, technology, deployment, or service-based projects preferred
Strong organizational and multitasking skills
Excellent verbal and written communication abilities
Strong attention to detail and follow-through
Ability to manage multiple priorities in a fast-paced environment
Comfortable working both in an office environment and visiting active project sites
Valid driver’s license and reliable transportation may be required
Proficiency with Microsoft Excel, Microsoft Outlook, and other office productivity tools
Experience with project tracking and collaboration tools preferred

Ability to communicate professionally with technical teams, clients, vendors, and leadership
Comfortable working around active installation or deployment environments
Strong problem-solving and time-management skills
Ability to track multiple moving parts and maintain organization under pressure
Experience supporting deployments, low-voltage, infrastructure, classroom technology, or field service projects is a plus
Work Environment
Combination of office and field-based work
Frequent communication with technical teams and onsite personnel
May require local travel to project sites
