    REAL ESTATE EXECUTIVE ASSISTANT

We need a proactive, independent thinker, with excellent time management and organizational skills to join our team. This high profile position is ideal for someone with a desire for professional growth and responsibility who wants to make a visible impact. You will analyze, prioritize, facilitate, and resolve issues for our principals and clients, while supporting daily operations for two Executives. Someone with a current California Real Estate (or someone willing to obtain a license in the immediate future), is highly preferred.

     

    POSITION OBJECTIVES & EXPECTATIONS

    • Act as gatekeeper, calendar manager, and provide administrative support to both Principals;
    • Underwrite assets for sale - enter property financial information into Excel;
    • Prepare or oversee preparation of marketing materials, including brokers’ opinion of value, offering memorandum, emails, postcards, ads, website updates, press release and social media posts;
    • Oversee and manage third-party professionals including photographers, copywriters, graphic designers, website designers, etc.
    • Create standard listing and commission agreements;
    • Interact directly with clients, including setting up property tours and inspections, resolving routine issues, and responding to inquires;
    • Coordinate with escrow, title, inspectors, third-party vendors, and oversee the escrow and closing process;
    • Research industry conditions and market comparables;
    • Assist with the preparation of proposals, presentations, and meeting materials;
    • Obtain and catalog due diligence documents;
    • Prepare and manage contracts, disclosures, and listing agreements;
    • Coordinate and manage Email and Social Media marketing campaigns;
    • Present and communicate appropriate and consistent brand standard;
    • Other projects or responsibilities as needed.

     

    REQUIREMENTS & SUCCESS CHARACTERISTICS

     

    Strong familiarity and understanding of Real Estate contracts using CAR ZipForms;

    Proficiency with MS Office and Google Drive - Above average skill with Excel;

    Exceptional verbal and written communication;

    Ability to develop and maintain positive client relationships and deliver consistent quality service;

    Proactive work ethic with a ‘no job is too small’ attitude;

    Ability to multi-task with attention to detail and accuracy;

    The drive and energy to successfully meet multiple and competing deadlines;

    Knowledge of social media marketing concepts and strategy;

    Willingness to work occasional evenings and attend corporate events.
