  • Responsibilities

    We're looking for a dynamic and passionate individual to join our team in San Francisco (flexible hybrid structure) as an Executive Assistant at Ikigai! In this role, you will report to the CEO and work closely with the Operations Manager as a trusted strategic partner to keep executive and operational functions focused on achieving company goals and get 10x as much done as the CEO would be able to do alone. This is a unique opportunity to see every aspect of a fast-growing tech startup at the CEO level.

    ROLE:

    • Arrange and optimize meetings for the CEO across global time zones, including scheduling all-company meetings and prioritizing conflicting needs

    • Record, transcribe, and distribute minutes for key meetings

    • Handle confidential information with discretion

    • Manage logistics for the SF office 

    • Support employee engagement and retention initiatives to help shape the culture at Ikigai

    • Assist with maintaining legal compliance and keeping company policy and guides up-to-date 

    • Assist with planning company events, including travel arrangements, food orders, and planning of other business-related meetings as requested.

    • Prepare and edit presentations, communications, and other documents as needed

    • Other administrative and project duties as requested

    TECHNOLOGIES:

    • Experience with Calendly or other appointment scheduling tools

    • Proficient in MS Office and Google Suite

    QUALIFICATIONS:

    • At least one year of experience supporting C-level executives or working in an administrative role

    • Adaptable and resilient to the changing needs of a fast-growing startup

    • Must be self-directed with strong problem-solving skills 

    • Must have excellent time management, organization, verbal, and written communication skills

    • Excellent administrative and customer service skills

    • Startup background or experience working in a fast-paced environment preferred
