We are looking for a Receptionist to join our legal team who is proficient at administrative tasks, including maintaining the reception area, greeting guests, answering multi-line phone systems, and maintaining office equipment. Able to learn new software quickly and has expert skills in Microsoft Office Suite. The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to work collaboratively in a fast-paced, team-oriented environment.
Responsibilities:
Greet and welcome customers as soon as they arrive at the office in a professional manner
Create intake for new customers
Direct customers to the appropriate attorney/paralegal
Answer, screen, and forward incoming phone calls
Ensure the reception area is tidy and presentable, with all necessary stationery and materials (e.g., pens, coffee, cups, water, sugar, and others)
Provide basic and accurate information in person and via phone/email
Assist in receiving, sorting, and distributing daily mail/deliveries
Update calendars and schedule clients
Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
Requirements and skills
Proven work experience as a Receptionist, front office representative, or similar role
Proficiency in Microsoft Office Suite
Hands-on experience with office equipment (e.g., fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
