Boutique virtual assistance agency looking for Virtual Executive Assistant/Board Liaison to serve female-identifying writers focused nonprofit organization located in Washington. You will perform various executive administrative tasks, including managing emails, scheduling meetings and making travel arrangements. A large part of this role will be working with a diverse board of directors with complicated schedules and very little time. A strong Internet connection is required, along with experience using communication tools like Zoom and Google Meet. Ultimately, you should be able to handle administrative projects and deliver high-quality work under minimum supervision within given deadlines. An understanding of how to take board meeting minutes is required.
Ideal candidates will have 3+ years of EA experience. Project management experience. Non-profit experience.
Responsibilities:
- Respond to emails and phone calls
- Schedule meetings
- Book travel and accommodations
- Manage a contact list
- Manage projects
- Prepare customer spreadsheets and keep online records
- Organize client's calendars
- Perform market research
- Create presentations, as assigned
- Proactively address clients concerns
- Provide customer service as first point of contact
- Take board minutes
- Attend leadership meetings with ED, take notes and send applicable action items
Skills:
- Proven experience as an assistant working remotely or relevant role
- Familiarity with current technologies, like desktop sharing, cloud services and VoIP Google Suite
- Knowledge of online calendars and scheduling (e.g. Google Calendar, Calendly, etc)
- Excellent phone, email and instant messaging communication skills
- Excellent time management skills
- Top-notch organizational skills
- Passion for learning new/skills/platforms
- Ability to excel in an autonomous environment
- High school diploma required; additional qualifications as an Administrator or Executive Assistant are a plus
- Previous experiencing assisting C-Suite executive or Executive Director (nonprofit)
Experience with boards and nonprofit clients/support critical for success in this position.
Availability for occasional travel to Washington ideal (2-3x/year)
Average of 30-35 hours/week - on call availability preferred
- 1099 contractor
- Hourly compensation: $22-$29/hour DOE
- Candidates with the ability to travel to Whidbey Island, WA 2-3 times/year HIGHLY PREFERRED
