JOB TITLE: Member Service Coordinator
POSITION TYPE: Full-time, exempt
REPORTS TO: Director of Marketing & Membership Development
LOCATION: Preference is given to Dallas, TX-based applicants. Fully remote based in the United States possible.

JOB SUMMARY
The Member Service Coordinator is a critical part of the IBA team serving as the first point of contact with members and charged with delivering excellent service. The coordinator is responsible for driving member engagement, database administration, supporting program coordination, and other duties as assigned. This position collaborates across the team and works closely with the marketing staff and education program directors.

PRIMARY RESPONSIBILITIES
- MEMBER ENGAGEMENT & MEMBER SERVICE
- Serve as the primary point of contact via phone and email for members, non-members, and all inquiries to the office with excellent customer service.
- Conducts member onboarding and oversees the member journey experience.
- Build relationships with member companies.
- Support members including navigating and logging into the website, processing payments, accessing programming, and more.
- Supports the Director of Marketing & Membership Development with creating and implementing member development campaigns, monitoring KPIs for member growth and engagement.
- Routine monitoring, evaluation, and reporting of membership and program metrics.
- RECRUITMENT & SALES
- Communicate and promote membership, member benefits, and the association to interested non-members at events, by phone, and through membership drives.
- Make sales calls/emails and retention calls/emails to attract new members and retain current members.
- DATABASE MAINTENANCE
- Serves as the primary database administrator for IBA’s AMS/CRM (YourMembership).
- Develops, maintains, and implements internal processes and standards to ensure data is up to date, complete, and accurate. Is responsible for overall data integrity.
- Develops and maintains reporting.
- Conducts outreach to maintain data accuracy.
- PROGRAM COORDINATION
- Administer all member-facing and back-end features of the AMS/CRM (surveys, forms, events, career center, e-commerce, etc.).
- Support the logistical management of in-person and virtual events/programs, such as webinars, virtual conferences, and in-person events.
- ADMINISTRATIVE SUPPORT
- Administer renewal invoice mailings and other administrative tasks as needed.
SKILLS & QUALIFICATIONS
- Minimum of two to three years working in program coordination or a comparable position in a member-service oriented environment or association/non-profit organization
- Extensive experience with CRM or AMS required. Experience with YourMembership is an asset.
- Excellent written and verbal communication skills
- Strong interpersonal skills with the ability to communicate with senior-level business professionals
- Strong service orientation and excellent customer service skills
- Experience coordinating events and webinars
- Familiarity with web conferencing tools such as Zoom, WebEx, or GoToMeeting
- The ability to work independently and collaborate as part of a team
- Experience analyzing data and creating reports
- Microsoft Office Suite, including intermediate skills in Excel
- Tech savvy with a high aptitude for using various platforms. Ability to quickly learn new systems as needed
- Prioritization and project management skills
- Education: Bachelor's degree
TRAVEL
- Some domestic travel (1-3 times a year) may be required.
SALARY RANGE: $50,000 - $65,000 commensurate with experience and qualifications.
