    SUMMARY/OBJECTIVE

    The Administrative Assistant provides assistance to the Production Planner in the planning of manufacturing products for the company. The primary purposes of this position are to create, expedite, prioritize, track, and close work orders, to help speed the flow of material and help ensure that the right material is at the right place, in the right quantity, with the right quality and at the lowest possible price. The Assistant Production Planner will assist the Production Planner with facilitating weekly Planning meeting minutes.

     

    ESSENTIAL FUNCTIONS

    • Create, issue, prioritize, revise, and track work orders for manufacturing on a daily basis, along with end of day report.
    • Day-to-day office task, such as answering phones, relaying messages, entering data into spreadsheets, printing and filing.
    • Assist in production schedules to ensure on-time delivery of customer orders.
    • Record and type minutes for weekly Planning meeting as well as providing a follow up email to all those attended and absent.
    • Help Supervisor oversee the issuing and collection of all work orders, verify captured items, and request inventory adjustments as needed to help with inventory accuracy.
    • As needed, monitor activities associated with Quality Control inspection, testing, and receiving to ensure a smooth flow of material tied to production requirements.
    • Updating IQMS to communicate with Receiving, QC, Warehouse and Manufacturing.
    • Communicate (verbally and in writing) with Manufacturing, Purchasing, Customer Service personnel, etc. on material status and manufacturing planning issues.
    • Back up when supervisor is not available to analyze sales order releases with respect to capacity planning and material requirements in meeting lead times for customers on new orders.
    • Performs other related duties as needed by supervision.

    REQUIRED EDUCATION AND EXPERIENCE

    • High school diploma or equivalent.
    • 1-2 years of experience in a manufacturing environment (preferred)
    • Must have good verbal and written communication skills.
    • Proficient with computer software programs and be comfortable learning new systems: proficient in Microsoft Office applications (Word, Excel and Outlook).
    • Must be good at mathematical calculations.
    • Ability to work effectively with other Associates.
    • Ability to conduct work with attention to detail, thoroughness, and with a balance of “due-diligence” and a “sense of urgency”.
