    Job Description

    We are looking for a highly self-motivated, efficient, logical, and creative DIGITAL OPERATIONS COORDINATOR - ENTRY LEVEL (NYC OR BOSTON AREA) who will work on a digitally focused portfolio within the Informa Connect business.

    The portfolio will focus on the digital delivery components of Smart/hybrid events and the delivery of virtual/digital products hosted exclusively online. The role involves a comprehensive list of responsibilities that occur pre, during and post each event from a delivery perspective. (Planning and operations)

    RESPONSIBILITIES:

    Project Management/Delivery (50%)

    • Support on all aspects of digital planning and delivery for Smart/hybrid and virtual events, including platform management, speaker and SPEX management, coordination of video production and recordings and post event data analysis
    • Simultaneously support the project delivery for multiple concurrent events to ensure events run as planned and troubleshoot as required
    • Create and own the Master Data Sheet used to track and capture key event information
    • Communicate video recording and editing requirements with our internal video teams and external AV suppliers for Smart/hybrid and virtual events
    • Liaise with our in-house Video team for video editing and streaming requirements at our virtual events
    • Assist with the delivery of live streaming on fully virtual events
    • Upload video content recordings to our video platform for On-demand viewing
    • Provide demos of our digital event platform to internal and external stakeholders
    • Organize and oversee pre-event tech checks with speakers
    • Work closely with the wider event teams to ensure smooth project delivery

    Assist with the on-the-day delivery of our virtual events, to include:

    • Manage Slido polls and audience notifications during the event
    • Forward audience questions to the moderator of the live room
    • Provide Crisp/helpdesk support on our digital platform and onsite (when required)
    • Add VIPs to closed door sessions
    • Log video asset numbers for each session and update the agenda.
    • Update the digital platform as required – yesterday’s poll results etc.
    • Create and issue all event notifications
    • Manage the speaker green room/s and any other sessions (workshops etc.) that need to be hosted/moderated during the live delivery of an event
    • General event trouble-shooter
    • Share in-event audience behavioral patterns with the wider virtual event team (SPEX, marketing etc.)
    • During the event provide updates as needed on session attendance and engagement for sponsor assets/areas as requested (end of each day)
    • Action Incident Response Plan and process (if required)
    • Undertake post-event delivery team responsibilities including the sharing of data reports (Alchemy) and providing data for our internal WERMS reports

    Administration (50%)

    • Data capture and analytics – Undertake all necessary event admin tasks, including: the preparation and circulation of Incident Response Plans, assistance with the completion of sustainability worksheets, accreditation administration and providing data for post event meetings
    • Post event, upload Video On Demand onto our virtual event platform
    • Share post event lead reports with the sponsorship team
    • Circulate final attendee lists with the event tram
    • Post event, provide accounts with a list of no show/no pay
    • Post event, share a list of VIP no shows with the VIP manager.
    • Complete the digital delivery teams internal KPI tracker
    • Prepare and upload FAQ’s onto our digital platform for each event.
    • Book staffing space in the office (as necessary) during the live virtual event days
  • Qualifications

    Qualifications

    • 1+ years professional experience in the B2B Digital Service and/ or Media Industry or equivalent
    • Previous webinar experience preferable, but not essential
    • Desire to be part of a digitally first focused team, with a digitally focused mindset
    • Experience of using Zoom, Microsoft Office and digital event platforms
    • Candidate must be extremely well organized, with the ability to simultaneously manage multiple projects and work to tight deadlines, in a fast-paced environment.
    • Outstanding verbal and written communication skills, who can work confidently and respectfully at all levels of an organization
    • Detail-oriented with excellent attention to detail
    • Ability to work with multiple teams and be able to work under pressure
    • An entrepreneurial spirit who is ready to take on an exciting challenge and is willing to take the initiative in the execution of digital products
