    Job Description

    Areas of Responsibility and Accountability- Directly manage members of the Event Operations teams and work with Operations Director to create annual event schedule and assign events and roles and responsibilities. Work with Operations Director to assess overall processes and challenges across the Event Delivery team and work to implement improvements. Project manage highly complex events and festivals executing venue, contractor, production, virtual/hybrid and food & beverage activities. Collaborate with market leaders and event directors to understand the strategy of both the Market Pillar and the event program (virtual/hybrid/physical) and make recommendations to help implement elements of the strategies. Source, compare, recommend, and negotiate contracts and/or service agreements with event suppliers, including but not limited to venues, AV, temporary staffing, security, H&S agencies. Develops annual event budgets, monthly forecasts, and reports actual spend, cost savings and ROI. Responsible for the implementation & adherence to each. Creates and manages complex P&Ls. Responsible for communication workflow to all service providers, including but not limited to electrical, internet, venue services, decorator services, graphic design, virtual/hybrid platform, audio-visual services, etc. Consults team members and documents output to identify any conflicts; is responsible for event production timeline and plan of action to ensure profit margin. Collects content, submits graphic orders, edits proofs, and coordinates on-site placement/removal. Responsible for communicating approved design concepts to all necessary team members to ensure consistency. Responsible for creation of complex event floorplans to ensure efficient use of space, proper traffic flow and compliance with safety and facility requirements. Create and maintain accurate master event drawing of all event space to include sponsor signage opportunities as well as room set-ups of all types. Create documents and work with the graphics/signage supplier for SPEX opportunities for signage throughout the venue and event In conjunction with Group Services Technology, sets up foundation of event in virtual platform understanding overall functionality to create a quality user experience. Collaborate with the AV vendor to ensure budgetary compliance and maximum value including identifying potential areas of concern, i.e. build time/overtime. Works with registration to coordinate exhibitor and attendee registration, including advance and on-site registration, as well as lead retrieval systems. Sets up and leads event pre-con meetings with all key suppliers and stakeholders. Works with event delivery team to ensure all technology is set up and functional; for example, computers, tablets, internet, wireless routers, charging stations. Manages communications with internal and external customers to ensure that issues are discussed and resolved. Ensure that assigned event teams (internal and external) understand the event sustainability plan, including effective sustainability initiatives to reduce or reuse, and involve community engagement through local non-profit beneficiaries. Completes and submits event sustainability tracking document in a timely manner post event. Acts as Health/Safety/Security advocate for assigned events. Assists in making risk assessments and incident response plans. Writes incident reports. Fulfills incident response team role as designated. Coordinate an exhibitor health and safety sign off process for stand plans and exhibitor risk assessments and method statements and act as support in liaison with suppliers and team involved. Leads, trains, supervises and evaluates assigned cross-functional event operations teams. Could be direct or indirect reports, or both.

    Building and maintaining relationships and understanding customer needs.

    Managing stakeholders internally and externally Strong collaboration and communication skills written, verbal, presentation. 

    Prior experience of establishing a shared service operation.

    Proven expertise in managing project activity, ability to prioritize and manage time efficiently.

    Demonstrable experience of leading and managing a team of operational colleagues Change leadership; leading colleagues and team in a rapidly changing environment.
