    Job Description

    POSITION SUMMARY: This position calls for a highly organized individual to help with the coordination of the daily administrative operations of the company. Specifically scheduling and coordination of communications – meetings and travel, taking phone calls, monitoring communications and using independent judgment to answer questions or route calls/communications to proper recipients.

    The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion.

    They will also be a quick learner with excellent memory skills and confidence to act independently with minimal supervision. They must be able to command respect from clients, vendors and peers through their business acumen, trustworthiness and demeanor.

    ESSENTIAL FUNCTIONS

    • ·       Answer routine correspondence and telephone calls
    • ·       Act as Gatekeeper/Liaison for the CEO in regards to communications from internal and external sources 
    •         Manager the CEO's dynamic calendar and coordinate updates with all appropriate personnel
    • ·       Expedite priority items to CEO or appropriate management for action
    • ·       Manage itineraries and make travel arrangements
    • ·       Create agendas and prepare meeting materials
    • ·       Handle confidential, routine and non-routine information with discretion
    • ·       Complete additional business assignments as required
    • ·       Routinely work overtime as required
  • Qualifications

    Qualifications

    QUALIFICATIONS/EDUCATION

    College or business school education preferred in a business-related discipline such as: Business Administration, Communications, Office management, etc.

    Prefer a minimum of five years’ experience in an Executive Office environment as an Administrative Assistant, Executive Secretary, Office Manager or Personal Assistant.

    • -Strong proficiency in Microsoft Word, Outlook and TEAMS
    • -Ability to coordinate events and meetings, including preparing agendas and materials
    • -Proven ability to handle multiple tasks simultaneously
    • -Ability to re-focus and re-prioritize as the CEO’s schedule and agendas change
    • -Ability to work independently and confidently with limited direction
    • -Ability to work well within all levels of an organization and within a team
    • -Excellent organizational and planning skills
    • -Excellent verbal and written communication skills
      • Work well under pressure while meeting deadlines
      • Excellent organization and Time Management skills
      • Exercise sound judgment and make good decisions to promote smooth and efficient workflow.
