    Job Description

    COMPANY OVERVIEW The Ingredient Exchange Company is a dynamic and fast paced organization that merchandises surplus, unneeded and obsolete food ingredients and finished goods. We are focused on helping sellers recover their investment in ingredients they can no longer use and providing buyers with low cost solutions for their ingredient needs. We are a smaller firm (less than 20) and are looking for a full-time (8 to 5) Accounting Administrative Assistant to join our team of professionals. JOB OVERVIEW The Accounting Administrative Assistant is an important role that includes a broad mix of duties to ensure that the work we do internally and with our clients keeps moving in a timely and efficient manner. The successful candidate will naturally be comfortable in a dynamic environment interfacing with staff and clients, have a positive and friendly personality, comfortable with a broad mix of duties, good with numbers and financial information, organized, skilled in both written and verbal communications and maintain high professional standards as an ambassador of our company. This position does not require a formal accounting education, although it would be a plus.

    THE KEY ACCOUNTABILITIES OF THIS POSITION INCLUDE:

    • Supplement existing accounting resources and identify process improvements to improve efficiencies. Such responsibilities include invoicing, posting payments, journal entries, payroll, calculating commissions, reconciling inventory, processing month end reports and managing AR/AP.
    • Provide transactional support to the trading team including order confirmations, trade summaries, coordinating logistics and product samples, compiling sales and miscellaneous customer reports, collecting and distributing regulatory paperwork and identifying ways to improve and automate our process.
    • General administrative support to include answering and directing phone calls, monitoring and maintaining incoming/outgoing correspondence, ordering supplies, and tracking marketing leads.

    IDEAL CANDIDATE FOR THIS POSITION SHOULD:

    • Demonstrate the ability to learn, dig in and figure things out
    • Not be content with status quo
    • Be self-motivated and able to operate with little supervision
    • Have superior oral and written communications skills
    • Be content working with a close knit team
    • Be organized, manage time effectively and effectively prioritize work
    • Knowledge of Sage 100 and Zoho CRM is a plus
    • Proficient with modern office software programs
    • Associates or Bachelors degree or related experience
    • Strong mathematical skills

    COMPENSATION Ingredient Exchange offers a competitive salary and benefits package. Expected first year compensation will be in the range of $30k to $45k.
