    Job Description

    DUTIES AND RESPONSIBILITIES:

    · Maintains Chief Executive Officer's schedule

    · Produces information by transcribing, formatting, inputting, editing, retrieving, copying and transmitting text and data, correspondence and proposals as directed

    · Maintains and protects operations by keeping confidentiality of the corporation’s sensitive issues

    · Maintain Administrative and Board files

    · Order supplies for the department following internal procedures

    · Opens and routes executive correspondence

    · Responsible for the Administration Office corporate credit card

    · To correlate, duplicate and distribute all Board materials in a timely fashion

    · Assists in the supervision of the operation and maintenance of the administrative copy and fax machines

    · Assists in the training of clerks as directed

    · Keeps equipment operational by following instructions and established procedures

    · Secures information by completing data base backups

    · Provides historical reference and reports by utilizing and retrieving systems

    · Contributes to team effort by accomplishing related results as needed

    · Performs other duties as assigned

    · To screen all incoming calls for the Executive Officer and transfer the call or take an accurate message as necessary

     

    MINIMUM REQUIREMENTS:

    · Four years’ experience of increased responsibility in secretarial and clerical duties

    · Ability to write and spell correctly

    · Excel/Microsoft Word skills and ability to type a minimum of 50 wpm

    · Ability to use general office equipment such as a computer, typewriter, copy machine, fax machine, telephones, etc.

    · Ability to take and transcribe meeting minutes

    · Demonstrates knowledge of administrative office methods and procedures

    · Ability to maintain good working relationship with management and staff

    · Good oral and written communication skills

     

    PHYSICAL REQUIREMENTS:

    · Must be able to lift up to 40 lbs.

    · Must be able to hear staff on the phone and those who are served in-person, and speak clearly in order to communicate information to clients, vendors, agencies, and staff

    · Must have vision which is adequate to read memos, a computer screen, registration forms and other documents

    · Must have high manual dexterity

    · Must be able to reach above the shoulder level to work, must be able to bend, squat and sit, stand, stoop, crouching, reaching, kneeling and twisting/turning
