    Input Staffing is looking for an Administrative Support Specialist to provide specialized technical and staff support for the Office of the Under Secretary of Defense (Intelligence and Security) (OUSD(I&S)) Battlespace Awareness and Security Programs (BASP), Military Intelligence Program and Security Resources (MSR) Directorates, Director for Defense Intelligence (DDI) Intelligence and Security and Programs and Resources (ISPR) Headquarters (HQ) and the Intelligence, Surveillance and Reconnaissance Enterprise Capabilities (ISREC) Directorate.

    The work location for these positions is at the Pentagon Arlington, Virginia; Crystal City, Virginia; and/or other government sites within the National Capital Region.

     

    Duties and Responsibilities for the Administrative Support Specialist include:

    • Executive and Senior Management Support - provide direct executive assistant support to the Military Intelligence Program and Security Resources (MSR) Directorate; advise in matters involving office interface, collaboration, and associated relations with offices within OSD, ODNI, the Services, US Commands, Defense Agencies, other Government departments, NATO and Supreme Headquarters Allied Powers Europe (SHAPE) offices, the Congress and Industry
    • Staff Assistance - maintain files, directories, special books, and other materials and shall perform a variety of related staff assistance; e.g., setting up conferences and meetings, arranging for conference rooms, contacting participants, distributing agendas, preparing material, arranging for availability of graphic aids, etc.
    • Calendar and Schedule Management - establish and maintain the Directors’ and Senior Advisors’ appointment schedule with responsibility for making changes and adjustments as necessary to meet unexpected, high-priority demands; work closely with the ISREC Director in planning their work schedules and in time management. The contractor will provide calendars and/or reminders of target dates for major projects, conferences, and meetings attendance, and on projected plans for travel, speaking engagements, etc.
    • Records Management - input, organize, analyze, and maintain electronic data records for control and accountability of classified correspondence and other material received in the office, making distribution to appropriate members of the staff; ensure all office records are marked, filed, and retained in accordance with the OSD and federal records disposition schedule approved by the National Archives and Records Administration
    • Travel Management - utilize the Defense Travel System (DTS) to prepare and/or oversee travel arrangements for the ISREC Director; assist in the preparation or refinement of itineraries, prepare or oversee the preparation of travel orders, secure reservations and tickets, and verify that passports and visas are in order; prepare end-of-trip vouchers, assist in developing necessary trip reports, and brief on items of special interest and actions taken during customer absence from the office; arrange for official local transportation, reimbursement for expenses incurred, and renewal of parking permits.
    • Correspondence Management - coordinate and track OUSD(I&S) staff actions and tasks utilizing the Correspondence and Task Management System (CATMS); receive, read, and make proper disposition of correspondence and other mail received in the office; determine which matters require immediate or personal attention of the customer; sort correspondence by actions required (e.g., signature, information or personal action); locate, assemble, and attach any background papers required; retain for own disposition routine inquiries and independently act on matters which can be disposed within established policy of the office and known wishes of the ISREC Director
    • Staffing Package Management - responsible for development of OSD staffing packages IAW OSD administrative guidelines to include time-sensitive requirements for senior leadership to include the Secretary of Defense and supporting facilitating, coordinating, synchronizing, gathering, analyzing, integrating and reporting on defense intelligence priorities analysis and integration efforts to inform decision making across DoD and the IC
    • Office Management - responsible for daily office functions to include but not limited to assisting with records management, ordering office supplies to include paper and printer toner and ink replacement, picking up mail, submitting staff IT requirements, maintaining a SOP that documents daily responsibilities, etc.
    • Security Management Support - help to maintain records for control and accountability of classified correspondence and other material received in the office making distribution to appropriate members of staff and Special Access clearances on appropriate OUSD(I&S) personnel; coordinate and carry out the disposal of classified waste in accordance with applicable regulations and procedures.

    Minimum Basic Requirements for Skills, Experience, Educations and Credentials include:

    • An active Top Secret security clearance with current Sensitive Compartmented Information (SCI) eligibility is required for this role. Jobseekers who do not possess an active Top Secret security clearance with current SCI eligibility will not be considered
    • Bachelor’s degree is preferred, or three (3) years demonstrated experience as an executive assistant with emphasis on the following:
      • Minimum of three (3) years of experience in records management including familiarity with Administrative Instruction 15 (AI-15) OSD Records and Information Management Program or similar governing document/regulation
      • Minimum of three (3) years of demonstrated experience supporting Senior Management
      • Experience maintaining an executive calendar, answering phones, preparing briefings, and setting and tracking suspense is required
      • One (1) to three (3) years of experience with the Defense Travel System (DTS)
      • Expert proficiency level in Microsoft Office Excel, Word, Outlook, and PowerPoint is required
      • Demonstrated ability to communicate with personnel at various ranking levels
      • Experience with utilizing the Correspondence and Task Management System (CATMS)
      • Experience providing administrative management support for sensitive activities, Sensitive Compartmented Information (SCI), Special Access Programs (SAP), and Alternative or Compensatory Control Measures (ACCM) activities is highly preferred
