    Job Description

    Insight & Change is a psychology and counseling practice with locations in Dallas and Colleyville. Our therapists specialize in the treatment of depression, anxiety, and relationship concerns through our work with children, adolescents, adults, and couples.     The practice is seeking to hire a part time or full-time office administrator/assistant. This position will be housed within both offices. Willingness and eagerness to facilitate communication with patients and staff is necessary. In addition, becoming involved with current and prospective referral sources, as well as the local community is required. Preference will be given to individuals with experience in outreach, as well as those who demonstrate exceptional multitasking and interpersonal skills.

    Job Type: Full-Time, 35-45 hours weekly

    Salary: $30,000 - $39,000 annually or $16-19 hourly

    Job summary: Insight & Change is seeking an office administrator/assistant who is willing to ensure that patients receive the utmost care and consideration. The office administrator/assistant will support a busy psychological practice with continued growth and direct support to the clinical directors. This position will require travel between the Dallas and Colleyville offices. Primary duties include appointment scheduling, maintenance of patient confidentiality and records, referral communication, as well as day-to-day office upkeep. The successful applicant will demonstrate a history of work in a setting that requires multitasking, organization, and strong independent as well as teamwork skills.

    Daily Responsibilities:

    • Assist practice directors in day-to-day administrative duties
    • Scheduling patients
    • Greeting and accurate registration of patients
    • Timely communication via email, phone, and/or in person
    • Ordering office equipment and necessities
    • Ensuring office is organized and tidy and presents well to patients
    • Working with clinical staff to develop and maintain office systems
    • Professional decorum
    • Prompt communication and attendance
    • Follow practice guidelines and HIPPA guidelines

     

    Skills and Qualifications: 

    • High school diploma or equivalent
    • Valid driver’s license is required for travel between office locations.
    • Experience with working in a medical office setting is preferred.
    • Proficiency in Microsoft office suite, electronic calendars, and email platforms.
    • Excellent organizational skills
    • Strong verbal and written communication skills
    • Efficient time management skills
    • Self-motivated
    • Strong decision-making and problem-solving abilities
