    Job Description

    WANTED: CLIENT SERVICE ASSOCIATE IN HUNTINGTON BEACH, CA

    We realize that the title "Client Service Associate" (or "CSA" as we call it internally) is a little vague. The CSA works with our Financial Planners to provide an excellent experience for our clients. The CSA is the first person that our clients see and hear in our office and assists them with questions or connecting them with another team member. Your role is to make our clients feel confident that we care for them and to solve their problems. To do this position well, you need to be comfortable solving problems, be resourceful to find answers to questions, and ensure our clients feel we’re taking care of them and we care for them.

    THE CSA ROLE PROVIDES VARIETY OF RESPONSIBILITIES WHICH INCLUDE:

    Administration/Reception – 50%

    • Responsible for “first point of contact” communications for all clients including answering the phone, greeting clients, always providing an outstanding first impression of the firm.
    • Plan events for both the firm and our clients including locating venues, coordinating catering, finalizing the guest list and “day-of” management of all details.
    • Responsible for written client communication to recognize personal events, firm event invitations, blogs, and client letters and agreements.
    • Schedule, coordinate, and confirm client meetings and calls for the team.
    • Learn clients’ names and build relationships to ensure they feel we care for them.
    • Maintain office management including ordering office supplies, coordinating office cleaning, and facilities management.
    • Support the rest of the Client Service team by filling in for them when they're sick or on vacation, or when they are unseasonably busy (we can all use a hand sometime!)

    Client Service Associate – 50%

    • Create and maintain client account on our custodians, Schwab and TD Ameritrade, and answer client questions about the accounts.
    • Log every activity and event related to your clients into Salesforce, our CRM, to ensure it is updated and current.
    • Track all open requests closely, with above-average attention to detail.
    • Keep client records organized and updated.
    • Communicate regularly with clients to ensure that all outstanding requests are resolved to their satisfaction.
    • Be the intermediary between clients, planners and our custodian, making sure the custodian does their job for the client.

    • You are known for your organization, task management, and attention to detail.
    • Be comfortable with cloud-based applications, e-signatures, and learning new software.

    NICE-TO-HAVES You have some industry knowledge and experience. It doesn’t have to be in financial planning but you should have some level of financial fluency. You should have some level of business education, but a college degree is not required. We find previous financial industry or especially investment advisory firm experience highly desirable.
