    Location: EcoSystems – Freehold or Dover, NJ (On-site)
    Employment Type: Full-Time, Exempt
    Compensation: $45,000–$65,000/year (based on experience)

    Position Overview
    EcoSystems is looking for a motivated and detail-oriented Install Admin to join our dynamic team. This role supports the installation department's day-to-day operations, including coordinating new sales, scheduling pre-walks and winterizations, tracking project progress, and ensuring administrative processes run efficiently.

    Key Responsibilities

    New Sales Coordination

    • Pull new sales reports and track projects in internal spreadsheets
    • Communicate with customers to introduce EcoSystems and confirm scheduling
    • Coordinate pre-walks and installation appointments
    • Send out “What to Expect” communication prior to installation
    • Schedule and confirm winterizations for current-year installations

    Install Coordinator Core Responsibilities

    • Act as the primary point of contact for customers post-sale
    • Ensure all jobs are entered in ServiceTitan with accurate revenue data
    • Contact customers within a week of Sales Coordinator's handoff
    • Offer a general install week and identify preferred or unavailable dates
    • Update the calendar with week range, customer preferences, and black-out dates
    • Keep utility mark-outs current and accurate
    • Conduct weekly check-ins with customers to provide install status (on schedule, early, delayed)
    • Engage customers during check-ins with relevant questions (plumbing updates, flag/paint status, etc.)
    • Confirm install the day prior, review final balance, and ask about payment method
    • Call customer when the crew is en route and reconfirm final payment details
    • Prepare paperwork for crews, noting if payment by check is expected and notifying the crew accordingly

    Job Tracking & Field Support

    • Reconcile daily crew times in ServiceTitan
    • Close out jobs, including residential, homebuilder, post-walk, and QC visits
    • Add warranty and membership information to customer accounts
    • Assist crew leaders with job tracking and dispatching
    • Prepare man-hour win/loss reports per crew and per job

    Utility Locate Management

    • Order, cancel, and follow up on utility locates
    • Maintain utility hit records and handle related billing follow-up
    • Keep locate logs up-to-date and well organized

    Qualifications

    Required:

    • High School Diploma or GED
    • 1–3 years of experience in an administrative role
    • Excellent communication and organization skills
    • Proficiency with Microsoft Office Suite (Word, Excel, Outlook)
    • Ability to manage multiple tasks independently

    Preferred:

    • Familiarity with ServiceTitan or similar field service software
    • Prior experience in an irrigation, construction, or landscaping environment

    Schedule & Working Conditions

    • Monday through Friday, full-time on-site
    • Some local travel may be required
    • Prolonged sitting with occasional standing, walking, and light lifting (up to 25 lbs)
