  • Responsibilities

    The Program Assistant is responsible for providing administrative and logistical support to ensure efficient and effective execution of IPHI’s COVID-19 contact tracing collaboration with Fairfax County Health Department (FCHD).

    The Institute for Public Health Innovation (IPHI) will hire, train and deploy a team of community contact tracing staff across Fairfax County, Virginia who will work as an integrated part of the Fairfax County Health Department (FCHD) COVID-19 response effort. The aim of this will be to call every person in the county with probable or confirmed COVID-19, gather their contacts, and proceed to call every contact in the area to reduce the spread of COVID-19. This is in tandem with government efforts to increase testing, improve public communication, and instruct on isolation and quarantine. This will fortify efforts to control the pandemic in Fairfax County.

    The Program Assistant will serve as a member of IPHI’s team in support of the Fairfax County Health Department’s COVID-19 contact tracing initiative. The Program Assistant will play a central role in ensuring efficient and effective program activities through such responsibilities as developing and implementing organizational tools, assisting with communications activities, scheduling and logistics, supporting meetings and training activities, responding to public inquiries, data entry, expense reporting, and record keeping. This is a temporary, full-time administrative position associated with IPHI’s contract with FCHD.

    RESPONSIBILITIES

    • Provide administrative support to the IPHI project team and external partners as appropriate
    • Develop and implement planning and project management tools on behalf of the team
    • Help monitor project deliverable timelines to ensure timely completion
    • Assist with logistics, scheduling, and follow-up to ensure effective implementation of meetings and trainings
    • Support communications activities by maintaining contact lists, performing website updates, implementing internal and external newsletters or other progress updates, providing logistical and technical support for virtual meetings and webinars, responding to general inquiries, and other activities
    • Create and update databases, including accurate data entry and the development of various queries, forms, and reports to support program needs
    • Assist with expense reporting and invoice processing
    • Maintain program-related files and records
    • Adhere to all requirements regarding protection of confidential information and other policies and procedures internal to IPHI and provided by Fairfax County

    MINIMUM QUALIFICATIONS

    College degree with at least two years of professional experience. Preference for individuals with work experience in non-profits, local government, or health and human services organizations.  

    NECESSARY SPECIAL REQUIREMENTS

    This is a temporary position in response to local needs in Fairfax County, Virginia resulting from COVID-19. Candidates will have access to a safe office environment but should also have the capability to work remotely and have ready access to high-speed internet to support remote work. IPHI will provide employees with adequate technology for onsite and/or remote work environments. The administrative office for this project is based in Washington, DC.
