    Job Description

    Provides administrative support to the Finance and Accounting department.  In this capacity, performs a variety of assignments including basic administrative duties, handling correspondence, maintaining department calendar and coordinating administrative tasks. 

  • Qualifications

    Qualifications

    • Completes specially assigned, Finance and Accounting department specific administrative tasks and projects including
    • Collecting and filing Customer Tax Exempt Certificates
    • Collecting and electronically attaching Supplier information such as W-9s
    • Organizing and maintaining audit support and quarterly audit binders
    • Assisting in annual 1099 tax filing
    •  An interest to learn, understand, and maintain ownership of customer online payment portals
    • Compile and report quarterly utility usage to ITW Environmental Health and Safety (EHS)
    • Establishes, organizes and maintains documents and files related to the general administration of the Finance and Accounting department. Including understanding and adhering to the ITW Record Management policy
    • Using MS Office, Excel and PowerPoint may be expected to assist in the following:
      • Preparing and distributing presentation material for quarterly department meetings
      • Preparing and tracking customer correspondence for annual escheatment process
      • Review of Accounts Payable and Accounts Receivables for significantly aged credit balances and work with vendors and customers to resolve
    • Performs administrative duties to include scheduling meetings, photocopying, faxing, scanning, distributing mail, arranging departmental activities and ordering office supplie
    • 1-3 years of administrative experience
    • Proficient in using MS Word, Excel, PowerPoint and Email
    • Must have a professional and positive attitude
    • Must have good written and verbal communication skills.  Professional telephone and interpersonal skills are required
    • Ability to work with several individuals while showing independence in balancing and prioritizing their requests.  Requires experience at handling multiple work assignments concurrently
    • Must have strong organizational skills and be able to provide support in a team environment
    • Ability to work extended hours as necessary.
