  • Responsibilities

    Northwest ADHD Treatment Center is seeking a motivated, full-time Intake Coordinator for our busy multidisciplinary mental health practice. This essential position is the first point of contact for new patients to the clinic and is responsible for phone intake screenings, providing information and referral services, and coordinating patient care with outside agencies. Position reports to Director of Behavioral Health.

    This position will be based at one of our Portland offices, scheduled Monday through Friday, 8:30am to 5:00pm.

    Primary responsibilities include:

    • Receive and respond to initial requests for services. Requests are received via telephone, fax, and email
    • Conduct intake screenings via phone and register patients into the electronic health record
    • Verify insurance information for all incoming patients, explain benefits to them, and schedule them for intake appointments
    • Track patient paperwork prior to intake
    • Maintain regular communication with providers regarding scheduling preferences
    • Maintain and update a list of referral sources for patients
    • Assess patient wait times across all demographics and manage waitlist effectively
    • Communicate with other healthcare providers in the community to coordinate care for mutual patients
    • Facilitate the access process for all referrals, including use of assistive technology and resources (Linguava, Ride2Care, etc)

    Our ideal candidate has the following qualities:

    • A Bachelor’s degree in Psychology or related field preferred
    • Must be comfortable talking on the phone and working independently
    • A warm personality and stellar customer service skills
    • Is comfortable asking difficult, sometimes awkward questions
    • Is capable of effectively communicating with distressed patients and providing optimal solutions to their concerns
    • Experience explaining program requirements and expectations
    • Excellent communication skills, including using proper grammar and correct spelling
    • Demonstrates honesty, integrity and professionalism
    • Has an exceptional attention to detail and possesses the ability to accurately record patient data and conversations
    • Familiar with HIPAA and understands the importance of confidentiality
    • Reliable, punctual, and strong work ethic
    • Proficient with technology. Experience using an EHR system, Onehealthport, and/or Availity preferred but not required.

    Pay band 2026: $20-24
