The Intake department is responsible for managing the intake process efficiently and effectively, ensuring a smooth transition from initial contact to client consultation. Responsibilities: • Set appointments for potential clients that meet our criteria to keep our lawyers’ schedules organized and grow our caseload • Supervise new client onboarding and current client files through data entry and paperwork collection to ensure our cases are managed efficiently • Take charge of various office tasks such as email correspondence, document management, data organization, and research to make sure our firm is running at peak efficiency • Survey potential clients to determine the right fit with our practice, while listening to all phone calls in an empathetic manner • Coordinate awareness initiatives and foster relationships with other attorneys alongside the marketing team in order to help grow our prospective client base • Completing Intake forms • Scheduling consultations with the Client Intake Specialist • Performing conflict checks • Maintaining accurate records in the conversion sheet • Conducting Potential New Client follow-ups and SCRUB calls • Reviewing intake leads from various sources • Assisting with Welcome Packets • Creating cases and invoices in the firm's management system • Referring unqualified Potential New Clients to appropriate sources • Tracking call metrics • Performing 250 outbound calls a week • Maintain a high show-up rate for scheduled calls Qualifications: • Strong ability to communicate eloquently and empathetically a must • High school diploma or equivalent required; Bachelor’s degree preferred • Solid data entry, spreadsheet management, and computer skills • Customer service or sales experience a plus • Full familiarity with the Microsoft Office suite, with advanced Excel proficiency • Must be high energy, enthusiastic, and empathetic • Candidate must be proficient in Microsoft Office • Dependability, punctuality, and consistency are key character traits for success in this position • Candidates must have excellent communication skills and be able to articulate themselves well orally and in writing • Must pay attention to detail and have a professional attitude • Must manage time appropriately • Spanish Speaking preferred Compensation: $18 - $22 hourly
