We are a premier provider of business management solutions designed specifically for Applied Behavior Analysis (ABA) therapy practices, committed to revolutionizing how providers deliver exceptional care. Our comprehensive system empowers ABA practices by handling the intricate operational, administrative, and strategic aspects of running a successful organization. With extensive experience in the behavioral health industry, we enable clinicians to focus on what matters most: transforming the lives of children and families through high-quality, evidence-based interventions. Our team is driven by a passion for fostering growth, ensuring compliance, and building sustainable practices that make a lasting impact in communities across New York and beyond. By partnering with us, practices gain access to our proven expertise, innovative tools, and unwavering dedication to advancing the field of ABA therapy.

We are seeking three highly motivated Intake Coordinators to join our dynamic team in New York, where you will serve as a vital link between families seeking ABA services and our mission to deliver life-changing care. This role is perfect for individuals who are passionate about making a difference, thrive in a fast-paced environment, and excel at building relationships with empathy and professionalism. As an Intake Coordinator, you will guide prospective clients through the initial stages of engagement, from inquiry to onboarding, ensuring a seamless and supportive experience. Your work will directly contribute to expanding our practice's reach while embodying our core values of humility, drive, and social intelligence. This position offers a unique opportunity to combine client-facing interaction, administrative precision, and sales-oriented goals, with a strong emphasis on impacting children's lives positively.

    Responsibilities

    • Manage inbound inquiries from parents and guardians, conducting initial assessments to understand their needs and matching them with appropriate ABA services.
    • Coordinate the intake process, including scheduling consultations, gathering necessary documentation, and ensuring a seamless onboarding experience for new clients.
    • Actively engage in client outreach and lead generation using our established relationships and tools to build and expand our clientele base.
    • Collaborate with internal teams, such as clinicians and administrative staff, to facilitate smooth transitions from intake to service delivery.
    • Track and report on key metrics, including client acquisition numbers, conversion rates, and follow-up activities, to support data-driven improvements.
    • Handle administrative tasks related to intake, such as maintaining accurate records in compliance with HIPAA and other regulatory standards.
    • Participate in team meetings and contribute ideas to enhance processes, demonstrating a willingness to take on additional duties as needed to support overall practice operations.
    • Provide empathetic, intuitive communication to parents, addressing concerns and building trust to encourage commitment to our services.

    Qualifications

    • Proven experience in a client-facing role, such as intake coordination, customer service, or sales within healthcare, behavioral health, or a related field; candidates must have a foundational background, as training will build on existing skills rather than starting from scratch.
    • Experience : At least 1 year of experience in ABA therapy, intake coordination, or health insurance (preferred).
    • License/Certification : Bachelor's or Master's degree in Social Sciences or a related field (preferred).
    • Exceptional social intelligence, with the ability to intuitively navigate conversations with parents and collaborate effectively within a team environment.
    • A humble mindset, demonstrated by taking full accountability for tasks, maintaining a focused work ethic, and embracing a "no task is beneath me" attitude to ensure work is completed efficiently.
    • A hungry drive, fueled by enthusiasm for achieving sales targets and numbers, coupled with a deep passion for our core values—particularly a commitment to positively changing children's lives through meaningful interventions.
    • Strong communication and organizational skills, with proficiency in using digital tools for record-keeping, scheduling, and client management.
    • Alignment with our office culture, which values integrity, community, and being a fundamentally good person who understands and fits into a close-knit, respectful team dynamic.
    • Availability to work full-time in New York; bilingual skills or experience in diverse cultural settings are a plus.

    Compensation

This position offers a competitive hourly rate of up to $35, commensurate with experience and qualifications. Additionally, we provide a robust commission structure tied to client acquisition and performance metrics, offering significant earning potential for high achievers who excel in driving results.
