Logistics Administrative Assistant

Responsibilities: • Monitor shared email inbox • Provide necessary reports; daily, weekly, monthly, quarter, annual (compliance, fuel, IFTA, logs, inspections, maintenance, safety) • Keep a log of logistics morning meetings as it relates to department needs • Assist the department with supply needs (binders, truck and driver supplies, plant supplies, U-Line orders) when approved by management • Assist the department with checklist and form management; up-to-date with company growth • Create and maintain DOT corporate, truck and terminal binders • Coordinate and participate in new driver orientation and ongoing driver training • Assist coordinators with Motive data entry (fuel receipts, maintenance, repairs) • Assist coordinators with new equipment setup in Motive • Collaborate and work closely with the IP Executive Administrative Assistant and the Administrative Assistants ensuring the office runs efficiently • Assist with equipment registration and titling through the Department of Motor Vehicles for Logistics • Coordinate ordering new equipment decals • Keep a log of logistics morning meetings as needed • Track and maintain team calendar (PTO, sick, wellness appointments, birthdays) • Assist department manager with new hire process; scheduling interviews, workspace needs, supplies, new hire binder, email signatures and templates as needed • Monitor, track, and reconcile all credit cards on a weekly basis; ensure all receipts are received at corporate timely • Participate in various projects • Assist with quarterly safety program and bonus presentation • Research and organize team events as needed • Assist Director of Logistics with tasks to ensure logistics team runs smoothly • Other job duties as assigned Qualifications: Requirements: • High school diploma, general education degree, or equivalent • Proficiency with Windows Operating Systems • Proficiency using Outlook • Proficient in Microsoft Office/Office 365 Skills: • Outstanding verbal communicator • Personable and attentive • Able to multi-task Preferred: • 1 year experience in an administrative assistant role • Previous experience with an ERP system • Experience with SharePoint • Previous experience in the transportation industry • Knowledge of DOT regulations related to carrier hours and transit times Compensation: $52,000
