    Job Description

    As the Payroll Manager, you'll be responsible for ensuring the accurate and timely payroll processing for our 12K salaried and hourly employees across our multiple brands in the US and Canada. You will guide and mentor a team of specialists, oversee quarter/year-end tax processing, and ensure compliance with federal, state, and local regulations.

    You will be reporting into the Senior Payroll Manager.

    The ideal candidate will have approximately (5-10) years’ experience in managing multi-state, high-volume payroll operations within sizable enterprises, ideally utilizing UKG and/or Workday. Additionally, they will demonstrate a track record of successfully leading and nurturing teams, coupled with a genuine enthusiasm for tackling complex issues head-on and innovating streamlined methodologies and protocols.

    This is a hybrid-based role which includes working 3 days per week (Tuesday, Wednesday, Thursday) in one of our three corporate locations: Deerfield, IL, North Olmsted, OH, or Maumee, OH.

    What you will be doing:

    • Manages the daily activities of on-site and remote Payroll Team, in multiple systems with multiple payroll cycles, for timely and accurate payroll processing and execution for US and Canadian employees.
    • Manages the Payroll Team in their function including processing time, compiling payroll statistics, maintaining payroll control records, recording hours of work, and calculating payrolls.
    • Supervise and mentor a team of six payroll specialists, providing guidance, support and training as needed.
    • Leads all quarter/year-end payroll tax processing, in conjunction with third-party administrator for timely processing of taxes and W2’s.
    • Monitors and identifies changes required for Federal, State, and Local compliance requirements and assists with ensuring overall compliance, including year-end reporting and issuance of W2’s.
    • Complete registrations for new payroll taxing jurisdictions. Maintain setup within payroll systems and third-party systems.
    • Analyzes, audits, and approves payrolls for accuracy and SOX compliance.
    • Back up for payroll processing for team members.
    • Leads exception processing, irregular activities, and/or highly sensitive issues to provide timely escalations and problem resolution.
    • Processes payroll accounting activities (creating journal entries, working with Finance).
    • Processes third-party vendor invoices, charging out to business units as required.
    • Escalation point for payroll team and employees providing best in class service.
    • Assists with testing, documenting, and training on configuration changes including implementations for acquisitions.
    • Assists with monitoring the data integrity within the payroll systems. Partners with HR to ensure systems are appropriately set up and updated to reflect current employee information for payroll processing.
    • Assists in developing, implementing, and maintaining payroll procedures, and implementing best practices to ensure compliance with company policies and all regulations.
    • Assists in testing of new/updated versions of payroll related software as it relates to payroll practices and business processes.
    • Collaborate with the Tax, Legal, Finance, HR, and other corporate teams on projects, payroll-related inquiries, or resolution of issues.
  • Qualifications

    Qualifications

    • 5-10 years of payroll processing experience with high volume/large employer (5,000+).
    • 3+ years’ experience managing a team.
    • Experience in multi-state payroll.
    • Proficiency in payroll software.
    • Advanced Excel skills to include pivot tables and V-Lookups.
    • Ability to maintain privacy and confidentiality.
    • Strong communication and interpersonal skills.
    • Excellent organizational and time management skills.

    Preferred Qualifications:

    • Bachelor’s Degree in Business or related field.
    • Certified Payroll Professional (CPP) certification.
    • Experienced in UKG and Workday Systems.
    • Understanding of stock (vesting, options, etc.) and non-qualified deferred compensation plans.
