    JOB DESCRIPTION

    The ideal candidate will assist the psychiatric services staff and patients with pharmacy needs/contacts, scheduling appointments, and communication with other medical providers; perform general program administrative duties. Including, but not limited to, compile, file, mail and maintain administrative and statistical data; including: episode opening/closing, petty cash, units of service, and business receipts. Have the ability to; ensure accuracy of medical records, collect and enter program data, and provide one on one patient supervision if needed.

    SALARY

    $19.14 - $24.93/hr based on education and experience; Nonexempt; 20 hours/week; Eligible for Overtime.

     

    REPORTS TO

    Psychiatrist; Psychiatric Nurse Practitioner.

     

    QUALIFICATIONS

    High School Diploma required, AA preferred with two years’ clerical experience including word processing, spreadsheet and database management. Knowledgeable in the medical field. Medical Assistant experience preferred. Applicant should be dependable, well-organized and have excellent interpersonal skills; good written and oral communication skills. Intermediate level experience with Microsoft Word, Excel and Outlook required. 

    Valid California driver's license; experience driving for a minimum of 2 years; auto in safe operating condition; auto liability insurance; good driving record; criminal record clearance; proof of authorization to work in the United States as required by Immigration and Reform Act of 1986.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Under the supervision of the Psychiatrist or Psychiatric Nurse Practitioner, the Administrative Assistant II: Psychiatric Services will assist with the following duties:

    1. Performs general program administrative duties.  Examples include, but are not limited to, compile, file, mail and maintain administrative and statistical data; including: episode opening/closing, petty cash, units of service, and business receipts.
    2. Assists Psychiatric Services staff and patients with pharmacy needs/contacts, scheduling appointments, and communication with other medical providers.
    3. Collaborates and communicates with patients and physicians.
    4. Attends and documents patients’ appointments as requested by psychiatric services’ staff. 
    5. Monitors medication records to ensure accuracy and needs for refills of medication.
    6. Manages and monitors Tele-psychiatric platform (ZOOM) for psychiatric and other staff. 
    7. Maintains adequate supply of office and other supplies.
    8. Greets clients/patients in a welcoming manner, answers incoming calls, directs, or takes messages.
    9. Ensure compliance with licensing and other regulations. 
    10. Assists with basic medical related projects as needed.
    11. Types and dispatches general correspondence, reports and evaluations. Dispatches and distributes fax messages and makes copies to keep on file.
    12. Maintains general office files, office equipment and patient files.
    13. Collects and enters program data into database and creates statistical reports.
    14. Develops forms, flyers and marketing materials, updates and maintains current forms.
    15. Serves as back-up for other staff as assigned.
    16. Provides one to one patient contact and supervision, as needed, as well as accompany to appointments and meetings, as needed.
    17. Provides appropriate clinical documentation in staff journal and client progress notes if needed.
    18. Completes weekly Medi-Cal documentation in Avatar.
    19. Actively promotes safety through the continuous monitoring of the environment and active engagement of patients to minimize unsafe situations and injuries.
    20. Assisting in admitting, transferring, or discharging patients or clients as directed by the Psychiatric Nurse Practitioner.
    21. Provides transportation for patients if requested.
    22. Other duties as assigned.

     

    PHYSICAL REQUIREMENTS

    Ability to: operate a motor vehicle; climb stairs; read data on a computer screen; read documents being word-processed, etc.; answer phones and communicate with staff, residents and agency visitors; meet the requirements of the classification and have mobility, vision, hearing and dexterity levels appropriate to the duties to be performed. Capable of the following extended activities: standing, sitting, climbing stairs.

    Capable of the following intermittent activities: lifting 25 pounds or more and bending in the performance of infrequently performed office duties.
