    Procurement & Logistics Manager

New York City Metro Area | Full-Time

    About the Firm

A boutique, lifestyle-driven interior design firm with a portfolio spanning luxury residences, investment properties, and commercial projects across major metropolitan markets. Built on deep client relationships, signature detail work, and a genuinely personal approach — collaborative, high-touch, and quality-first.

    The Opportunity

The firm is seeking a Procurement & Logistics Manager to own procurement operations and keep a talented design team on track. This is not a back-office role — it sits at the intersection of project management, vendor relationships, logistics, and client deliverables. The right person will be a force multiplier for the entire team.

    Key Responsibilities

    Procurement & Vendor Management

    • Own end-to-end procurement for FF&E across all active projects, from specification through delivery and installation coordination
    • Manage all vendor communication — domestic and international — with a focus on accountability, accuracy, and timeline adherence
    • Oversee import logistics, including coordination with European vendors and freight/customs processes
    • Maintain vendor relationships and source new suppliers as project needs evolve

      Project Management & Team Coordination

    • Serve as the operational hub of the project team — tracking deliverables, flagging risks, and keeping all parties aligned
    • Build and maintain project timelines, procurement schedules, and status trackers within Studio Designer
    • Proactively identify delays, substitutions, or procurement issues and propose solutions before they become problems
    • Coordinate with the design team, contractors, and clients to ensure seamless execution from selection to installation

      Administration & Systems

    • Manage purchase orders, vendor invoices, and procurement documentation with a high degree of accuracy
    • Maintain organized records within Studio Designer, ensuring the team has real-time visibility into procurement status
    • Support budgeting and cost tracking in coordination with firm leadership
    • Play an active role in the firm's transition to a new proprietary software platform currently entering open beta — helping establish best-in-class structures, workflows, and systems as the technology evolves

      Qualifications & Experience

    • 3–7+ years of procurement or project management experience in a high-end interior design, architecture, or luxury residential environment
    • Deep familiarity with luxury FF&E — materials, vendors, lead times, and quality standards
    • Hands-on experience with Studio Designer (required)
    • Demonstrated experience managing imports from European vendors, including freight coordination and customs logistics
    • Exceptional organizational skills with a track record of keeping complex, multi-project teams on schedule
    • Strong written and verbal communication skills — this role is vendor- and team-facing daily
    • Self-directed, highly detail-oriented, and comfortable operating in a fast-paced, boutique environment
    • Genuine enthusiasm for systems-building and process development — the firm is actively transitioning to a new proprietary software platform and needs someone energized by the opportunity to help shape how it's implemented

    Why This Role

A rare opportunity to join a firm at an exciting inflection point — small enough that your impact is immediate, established enough that the clients and portfolio are already exceptional. The right person will have genuine influence over how the firm operates and scales.
