YOUR ROLE

As an Executive Assistant at IFF you will perform a wide range of administrative and general support duties of a highly responsible and confidential nature. This position requires a high level of tact and integrity due to the frequency of executive-level internal and external contacts and regular exposure to confidential data. You must be able to communicate effectively with executive, administrative, and line management to gather, record or convey relevant information. The executive assistant will also initiate special reports and perform all normal administrative and clerical duties. This position requires minimal instruction or supervision so the ideal candidate will be comfortable working independently.

Your job responsibilities will include:

• Perform a diverse set of administrative activities in support of C-suite executives
• Act as an information source on organizational policies and procedures. Gather, compile and report information relevant to the assignment. Participate in planning functions. Administer organizational correspondence control.
• Manage two extremely busy executive calendars
• Arrange complex international travel itineraries
• Screen all callers and make proper referrals. Promptly answer/organize mail.
• Operate computer software and assist in developing, implementing, and monitoring internal operating systems and procedures.
• As directed, contact key individuals inside and outside the company to obtain or relay important information on a variety of issues, such as contract status proposals, recruiting, etc.
• Complete special assignments, which require collecting, organizing, and analyzing data, which may be the basis of significant decisions by senior executives of the company.
• Exercise independent judgment and discretion for problem solving.
• Assist in the preparation of the budgeting reports or other assigned presentation activities.
• Coordinate office support activities/events as required.
• Support other Executive Assistants as required and be an active part of a team culture

Required Skills

• Must demonstrate competence with the MS Office Suite and additional business applications such as travel sites, expense reporting, etc
• Must have a flexible nature focused on achieving the results needed by the department in support of IFF’s goals and objectives.

Required Experience

• At least 7 year’s prior experience in a professional, administrative environment supporting C-Suite executives. Key characteristics include poise, discretion, confidentiality, autonomy, approachability and organizational savvy.
• Bachelor’s Degree in business or a related field.
• Relationship building and teamwork experience.
