    OPERATIONS & OUTREACH COORDINATOR

    International Relief Teams (IRT) alleviates human suffering caused by poverty and disaster around the globe by sending volunteer teams, financial support, relief supplies, and other assistance to where it is needed most.  Since our founding over 30 years ago, IRT has delivered more than $574 million in aid to 73 countries worldwide.

To this end, IRT has developed strong relationships with highly effective organizations and leaders on the front lines of humanitarian challenges. As partners, we work together to accomplish mutual goals in alleviating human suffering. Our programs fall into two general impact areas:

     

    1.       International and Domestic Disaster Relief – we provide relief supplies (food, water, hygiene supplies, construction materials, etc.) and medical and/or construction personnel as needed in response to natural and man-made disasters.

     

    2.       Building Healthy Communities – this includes providing for the nutrition and education needs of abandoned children, providing medicines and medical supplies to hospitals and clinics serving the poor, deploying volunteer teams to provide surgeries, eyeglasses, and house construction in vulnerable communities, and providing weekend food to needy local schoolchildren and their families.

     

    POSITION DETAILS

     

    OVERVIEW

     

    Reporting directly to the COO, the Operations & Outreach Coordinator will play a critical role in ensuring the effective delivery and execution of IRT’s portfolio of programs. This will be an

    integral programmatic team member, supporting the day- to-day program operations and supporting IRT’s outreach to the communities in which it operates. The Operations & Outreach Coordinator will have primary responsibility for recruiting, orienting, placing, deploying and retaining volunteers for each volunteer program

     

    The Operations & Outreach Coordinator will join IRT at an exciting juncture as it expands and grows its program portfolio. The Operations and Outreach Coordinator will help to build and maintain the necessary infrastructure and processes that support the ongoing growth and success of IRT.

     

    We seek a nonprofit professional who passionately supports operational functions and continuous improvement and is also outgoing and seeking to interact with community partners and volunteers. The ideal candidate will be team-service oriented, self-directed, and comfortable in a setting where they help to expand an emerging philanthropy program within an established nonprofit organization.

    RESPONSIBILITIES

     

    The Operations & Outreach Coordinator will work closely with the COO to coordinate tasks related to several functional activities, such as operations support, including Information Systems, Human resources and Finance, community outreach, volunteer engagement, training and support, special events, and others.

     

    The Operations & Outreach Coordinator will work towards meeting the strategic priorities of the organization by implementing strategies for approved plans and logistics for operational priorities and community partnerships. In close collaboration with the COO, they will be responsible for the recruitment, training, and recognition of program volunteers, and may direct the activities of volunteers.

     

    ESSENTIAL DUTIES/FUNCTIONS:

    • OPERATIONAL SUPPORT: Coordinate projects with several variables, working within a defined timeline and budget. Work on processes and practices in order to improve effectiveness. Perform non-routine analysis, research and follow-through. Ensure compliance with IRT policies and procedures, and external (donor/legal/IRS) requirements.

    • COMMUNITY OUTREACH. Provide operational support on IRT’s growing community partnerships. Be fully knowledgeable about IRT’s local and international programs, and have the capacity to build and  lead operational relationships with community organizations, as requested by COO. Coordinate work and program implementation with community partners as needed.

    • COMMUNITY BUILDING SUPPORT. Supports logistics and implementation of IRT programs. Assists with timely follow-up on operations related challenges and opportunities with the community, partners and supporters.

    •  VOLUNTEER MANAGEMENT: Recruit volunteers from throughout the U.S. on an ongoing/as-needed basis for construction, eyeglass, medical, food distribution, and other appropriate teams, as well as for administrative/office assistance and fundraising events. Coordinate and arrange logistics for volunteer teams to deploy  in the US and abroad.  As needed, train volunteers and/or ensure that training is received from other staff. Seek out new avenues and sources for volunteer recruitment. Respond to requests from groups and individuals for volunteer opportunities and/or projects.

    • PROJECT COORDINATION & DATA MANAGEMENT. Coordinates ongoing and special projects under the leadership of the COO including research, statistical analysis, etc. Design, develop, build, modify and maintain reports. Contribute to and lead initiatives to help improve or build upon processes, procedures and programs. Provide input through project teams for the improvement of existing programs;

    • INTERNAL & EXTERNAL COORDINATION. Keeps current on all IRT policies and programs. Collaborates with team members across the organization and with counterparts at partner community organizations. Represent IRT as needed at external meetings.

    • OTHER DUTIES AS ASSIGNED. Perform other duties as assigned to ensure a positive public image and to enhance the operation of the organization.

    Responsibilities include:

    ·         Collaborating closely with IRT’s COO and senior leadership to build, formalize, operationalize, and manage partnerships with key community partners in San Diego, across the country and internationally.

    ·         Identifying and then working closely with a point person at each organization to coordinate the collaboration with IRT and/or our volunteers.

    ·         Cultivating and enhancing pre-existing relationships with partner organizations and volunteers.

    ·         Directly leading planning and implementation of multiple volunteer teams  working nationally and internationally.

    ·         Assist in the organization of special events, including partner/volunteer appreciation events and other program initiatives.

    ·         Entering, managing, and updating data records of volunteer contacts.

    ·         Collaborating closely with colleagues on the planning and implementation of IRT programs and other organizational efforts.

    QUALIFICATIONS & EXPERIENCE:

    ·         Must be a creative thinker, highly organized and have a strong work ethic and a positive attitude.

    ·         Self-starter and intentionally collaborative; able to work well within an emerging, growth-oriented, entrepreneurial team.

    ·         Strong analytical, writing, problem solving and reporting skills.

    ·         Excellent interpersonal, organizational skills, and attention to detail.

    ·         Ability to work effectively with diverse populations and cultural groups is necessary.

    ·         Ability to develop and maintain professional working relationships with volunteers, community partners, staff, coworkers, and supervisor.

    ·         Experience in nonprofits, volunteer management and /or  event planning highly valued.

    ·         Proficiency in project management is a major plus

    ·         Must have valid driver's license and reliable transportation to and from work and for community outreach-related activities.

    ·         Ability to travel up to 25% of the time, both nationally and internationally.
