POSITION: Intersession & AVBGC Volunteer Engagement Coordinator (Full-Time)
Hourly Pay: $22.75 per hour (may vary based on qualifications)
Primary Location: Duke Legacy Center, 45356 Division Street, Lancaster, CA
Schedule: Full-time; schedule varies based on operational needs. Standard hours may include 9:15 a.m. to 6:15 p.m. , with adjusted hours during intersession programming (Club Genius), generally 7:30 a.m. to 4:30 p.m.
This position may require occasional overtime, evenings, or weekends to support safe site operations, family events, pantry services, volunteer coordination, and proper site closure.
POSITION SUMMARY:
The Intersession & AVBGC Volunteer Engagement Coordinator is responsible for leading and coordinating youth programming operated at the Duke Legacy Center, or other community center during intersession timeframes for local school districts. During non-intersession timeframes, this position is also responsible for overseeing volunteer recruitment, onboarding, and placement across all AVBGC program sites, in addition to supporting community engagement and food pantry operations.
This position plays a key role in ensuring the AVBGC serves as a high-quality community-based program site for students during periods when local school sites are not operating intersession programs. The Coordinator is responsible for planning, implementing, and evaluating engaging programs that support the goals of Expanded Learning Opportunities Programs (ELO-P), including enrichment, academic support, physical activity, social-emotional development, and meaningful youth engagement.
In addition, this role leads AVBGC-wide volunteer coordination efforts by recruiting volunteers, interns, 1:1 aides, and other approved third-party providers; ensuring all required onboarding steps are completed; and coordinating appropriate placement at Club sites based on organizational needs. This includes helping ensure volunteers and third-party support personnel receive proper orientation, complete required safety and compliance steps, and are placed in a manner that supports safe, effective operations throughout the organization.
The Coordinator works closely with the Program Director, Regional Directors, site leaders, schools, families, and community partners to align programming, volunteer support, and community services with organizational priorities, ELO-P expectations, and operational needs.
ESSENTIAL DUTIES & RESPONSIBILITIES:
Intersession Program Coordination
- Plan, organize, advertise and lead youth programming at the Duke Legacy Center or assigned community center during intersession periods for surrounding local school districts.
- Develop and implement engaging, age-appropriate program plans that align with Boys & Girls Club priorities and Expanded Learning Opportunities Program (ELO-P) requirements.
- Create quarterly, seasonal, or intersession-based program plans that support enrichment, academic engagement, physical activity, youth development, and social-emotional growth.
- Ensure programming is well-structured, safe, inclusive, and responsive to community needs.
- Facilitate daily activities and support a positive, engaging environment for youth participants.
- Monitor participation, attendance, and program outcomes to evaluate effectiveness and identify opportunities for improvement.
- Maintain familiarity with local district calendars and ELO-P intersession calendars to ensure the Center is operating on appropriate dates and in alignment with community needs.
- Assist in coordinating staffing plans for intersession programming in partnership with the Program Director, who will collaborate with Regional Directors to secure additional support staff as needed.
- Ensure proper enrollment documents are collected, maintained, and submitted as needed to support CSBG grant requirements, while also providing accurate program data, participation information, and reporting support to help ensure compliance with CSBG and other grants awarded to the Duke Legacy Center.
Community Engagement and Outreach
Create and distribute program flyers, recruitment materials, and community awareness communications to promote intersession programming, including obtaining required district flyer approval and coordinating appropriate distribution through schools, community partners, and other approved channels.
High school diploma or equivalent required; associate degree in Education, Youth Development, Human Services, Communications, Public Administration, or a related field preferred. Bachelor’s degree in a related field is strongly preferred but not required. Equivalent work experience, training, or a combination of education and experience will be considered.
Create promotional materials, presentations and program communication to support recruitment and visibility.
Build and maintain positive relationships with local schools, families, district partners, and community organizations.
Represent AVBGC at school functions, community events, resource fairs, and outreach activities.
Support the development of partnerships that bring resources, services, and opportunities to youth and families in the surrounding community.
Support school-year operations involving specialized programming for teens, including assisting with teen program implementation, outreach, attendance growth, and general program oversight to help ensure consistent participation and engagement.
Family Communication and Recruitment
- Communicate regularly with parents and guardians regarding program schedules, enrollment opportunities, expectations, and updates.
- Support participant recruitment efforts for intersession and community-based programming.
- Build trusting relationships with families to encourage consistent participation and long-term engagement.
- Ensure families feel informed, welcomed, and connected to available programs and services.
AVBGC Volunteer, Intern, and Provider Coordination
- Lead volunteer recruitment efforts for AVBGC programs and events across all Club sites.
- Coordinate volunteer placement across AVBGC locations based on site needs, program priorities, and organizational capacity.
- Support the recruitment, screening, onboarding, and placement of interns, 1:1 aides, and other approved third-party providers assigned to Club locations.
- Ensure all volunteers, interns, aides, and third-party providers complete required onboarding steps prior to placement, including orientation, mandated reporter training, safety training, and any required background clearance or compliance documentation.
- Help ensure onboarding processes are completed accurately, timely, and in alignment with AVBGC expectations and safety requirements.
- Coordinate with leadership and site teams to confirm appropriate placement, supervision expectations, and site readiness for volunteers and support personnel.
- Maintain organized records related to recruitment, onboarding, clearances, placement status, and participation.
- Serve as a point of contact for questions related to volunteer placement, onboarding requirements, and general coordination of approved support personnel.
- Help strengthen AVBGC’s volunteer pipeline by building relationships with community members, colleges, local partners, and organizations that may provide volunteer or intern support.
- Conduct occasional on-site observations to evaluate volunteer/intern effectiveness, site fit, and the overall experience for both the Club and the volunteer/intern.
- Provide site staff with an overview of volunteer/intern expectations to ensure the role is understood, aligned with expected outcomes, and supportive of on-site programming.
- Support the process of reassigning volunteers/interns or recommending removal to leadership when the placement is not effective, expectations are not being met, or continued placement is not in the best interest of the program.
- Collect exit feedback, evaluations, or surveys from volunteers/interns when appropriate to identify ways to improve the onboarding, placement, supervision, and overall volunteer experience.
Food Pantry Coordination and Support
- Oversee and support pantry operations at the Whitney Mac Center as part of the site’s broader community service model.
- Coordinate pantry logistics, order placement, distribution planning, volunteer support, and communication related to pantry services.
- Help ensure pantry operations are well-organized, safe, clean, and efficient while respectfully meeting the needs of youth and families.
- Create and distribute communication materials related to pantry services, including flyers, schedules, community outreach information, registration details, and other materials intended to support family awareness and participation.
Program Tracking, Compliance, and Reporting
- Track attendance, participation, and program data accurately and consistently.
- Support documentation, reporting, and grant-related compliance requirements associated with intersession and community programming.
- Assist the Program Director in collecting, organizing, and analyzing data to demonstrate program outcomes and maintain alignment with funding expectations.
- Prepare accurate records, reports, and updates for leadership and stakeholders as needed.
- Maintain documentation related to volunteer onboarding, site placement, compliance requirements, and third-party support assignments.
Operational Support
- Assist with overall site needs to ensure the Duke Legacy Center and other intersession sites remains organized, responsive, and prepared for programming and community-based services.
- Support safe and proper opening and closure of site operations.
- Help coordinate staff coverage, supplies, and communication needed for smooth daily operations.
- Respond flexibly to changing operational needs, including schedule adjustments tied to intersession calendars, family events, community programming, and site-based support needs.
REQUIRED SKILLS & COMPETENCIES:
- Strong communication, relationship-building, and presentation skills with the ability to effectively share information with youth, families, staff, volunteers, school partners, community organizations, and leadership.
- Ability to prepare and present information clearly and professionally during staff trainings, community outreach opportunities, volunteer orientations, partner meetings, and program-related presentations.
- Ability to plan and facilitate engaging youth programs that are creative, structured, and mission-aligned.
- Strong organizational skills with the ability to manage multiple responsibilities across programming, outreach, volunteer coordination, onboarding, pantry support, and operational planning.
- Ability to coordinate logistics and placement for volunteers, interns, aides, and third-party providers across multiple sites.
- Strong attention to detail when handling onboarding requirements, safety training, documentation, and compliance processes.
- Ability to adapt to changing schedules and operational needs throughout the year.
- Strong time management, problem-solving, and follow-through.
- Ability to work independently while also collaborating effectively with leadership and site teams.
QUALIFICATIONS:
- High school diploma or equivalent required; associate degree in Education, Youth Development, Human Services, Communications, Public Administration, or a related field preferred. Bachelor’s degree in a related field is strongly preferred but not required. Equivalent work experience, training, or a combination of education and experience will be considered.
- Three years of experience working with youth in a school, nonprofit, community center, or similar setting required.
- Additional experience in volunteer coordination, intern placement, onboarding, community outreach, family engagement, pantry support, event coordination, or program administration strongly preferred.
- Experience coordinating compliance requirements such as orientation, mandated reporter training, safety training, and background clearance processes preferred.
- Experience creating flyers, organizing communications, presenting, and supporting recruitment efforts preferred.
- Must pass a background check and meet all Boys & Girls Club compliance requirements.
WORK ENVIRONMENT:
This position is based at the Duke Legacy Center but includes coordination responsibilities that support other intersession locations and all AVBGC program sites. The role requires regular interaction with youth, families, staff, volunteers, interns, school partners, community members, and third-party support personnel. The Coordinator must be able to manage both direct site-based programming responsibilities and broader organization-wide coordination needs in a fast-paced environment.

- This role involves travel between Club sites and requires the operation of a personal or Club vehicle. Employment is contingent upon maintaining a valid California driver’s license and a driving record that meets the insurance carrier’s underwriting requirements. Employees must remain insurable at all times during employment in this role.
- This role is eligible for mileage reimbursement for travel costs from site to site.
- Must be able to work in loud environments and communicate clearly.
- Stand for four plus hours per day.
