    Position Overview:

    We are looking for a Customer Service/Dispatcher with expertise in the commercial HVAC and plumbing industry to play a key role in our service team. The ideal candidate will have strong organizational skills, excellent communication abilities, and a customer-centric mindset. Experience with Service Titan software is highly preferred, as it serves as the backbone of our dispatch operations and service management.

    Responsibilities:

    • Receive incoming service requests from customers and internal stakeholders, accurately documenting details of each request in the Service Titan system.
    • Coordinate with service technicians to schedule appointments and dispatch them to customer locations in a timely manner, optimizing route efficiency and minimizing downtime.
    • Monitor technician schedules and workload throughout the day, adjusting assignments as needed to accommodate urgent requests and changes in priority.
    • Communicate effectively with customers to provide updates on technician arrival times, service delays, and any other relevant information.
    • Liaise with the customer service team to ensure clear communication and alignment on customer expectations and service requirements.
    • Utilize Service Titan software to track service calls, update job statuses, and maintain accurate records of service activities.
    • Address scheduling conflicts and coordinate with dispatch team members to find solutions and minimize disruptions to service delivery.
    • Collaborate with other departments, including sales, operations, and customer service, to ensure seamless coordination and execution of service activities.
    • Monitor inventory levels of parts and supplies, and coordinate with the purchasing department to ensure timely replenishment.
    • Identify opportunities for process improvements and efficiency enhancements within the dispatch function, and work with management to implement changes as needed.

    Qualifications:

    • High school diploma or equivalent required; additional education or training in a related field preferred.
    • Minimum of 1 years of experience in a dispatch or scheduling role, preferably in the commercial HVAC and plumbing industry.
    • Proficiency in using Service Titan or similar field service management software is highly preferred.
    • Strong organizational skills and attention to detail, with the ability to prioritize tasks and manage multiple priorities simultaneously.
    • Excellent communication skills, both verbal and written, with the ability to effectively interact with customers, technicians, and colleagues.
    • Ability to remain calm under pressure and make quick, informed decisions in a fast-paced environment.
    • Knowledge of commercial HVAC and plumbing systems and terminology is a plus.
    • Strong problem-solving abilities and a proactive approach to addressing challenges.
    • Ability to work independently as well as part of a team, with a collaborative and solutions-oriented mindset.
    • Flexibility to work occasional evenings, weekends, or holidays as needed.
