Administrative Assistant (PT) Intrax Global Internships sponsors thousands of international university students and working professionals from around the world who travel to the United States to participate in internship and training programs. Intrax Global Internships is looking for a part-time (15-20 hours/week with opportunity for additional hours depending on business needs) hourly office Administrative Assistant to provide general administrative assistance including invoicing, filing, updating customer records in Salesforce and phone inquiries. Essential Functions - Prepare customer invoices in Quickbooks (schedule TBD; daily for urgent requests) - Record payments in Quickbooks (schedule TBD; daily for urgent requests) - Extract information from Salesforce to determine billing requirements - Upload invoice and payment information from Quickbooks to Salesforce - Coordinate with Accounting Department to reconcile invoicing between Quickbooks and Accounting system. Additional Responsibilities - Update participant records in Salesforce including program date changes, check-ins, host company address updates - Assist with host company background checks - Prepare documents for DocuSign - Filing and sorting mail Required Experience - 1-2 years of administrative and/or accounting experience Knowledge, Skills, and Attributes - Knowledge of Salesforce or similar CRM and QuickBooks - Knowledge of Microsoft office and Outlook - Ability to multi-task and meet deadlines - Must be able to work as part of a team and independently - Organized and accurate with high level of attention to detail Intrax will consider for employment all qualified applicants with criminal histories in a manner consistent with the requirements of the San Francisco Fair Chance Ordinance.
