The Learning & Engagement team is currently seeking a Program Coordinator to support the Invention Convention Worldwide (ICW) cross-functional team with the planning, logistics and delivery of their driving programs and events, specifically the U.S. Nationals Competition, the Invent It Forward Summit, and the monthly ICW community network meetings. Work will include familiarizing themselves with the event program goals, planning and execution of those driving projects, participating in meetings with program affiliates, program affiliate communication, and other administrative and logistical support as required.
While the role is primarily on-site, occasional remote tasks may be approved based on operational needs. Certain projects may also require availability outside standard Monday–Friday, 9 a.m.–5 p.m. hours.

Essential Responsibilities
**Team Operations & Support **
- Serve as primary contact for Invention Convention Worldwide (ICW) Affiliates to support their program needs, meetings, documentation, and communications
- Provide administrative and logistical support that includes the development, planning, execution, documentation and evaluation of all ICW programs and events affiliate meetings, Invent It Forward Summit, U.S. Nationals in collaboration with the Sr. Manager and Manager, Team Operations & Logistics
- Manage the zFairs online registration platform, including enrollment, data accuracy, and user support
- Help ensure that all ICW program documentation and standard operating procedures stay up to date
- Maintain inventory of ICW program materials and supplies
- Oversee and coordinate the material and creative service requirements for the ICW team, collaborating with the Manager of Team Operations and Logistics to ensure effective fulfillment
- Support ongoing communications with ICW Network Affiliates, including meeting reminders, updates, recordings, recognition activities, and digital content creation
- Maintain and update affiliate and stakeholder data bases, and produce digital content through StoryMaps, highlighting program impacts such as patent holders, scholarship recipients, and special projects

Event & Program Logistics, Planning and Execution
- Supports event planning with logistics and execution for ICW events, such as U.S. Nationals, Invention Convention Michigan, and the Invent it Forward Summit, that includes but may not be limited to: scheduling, accommodation and transportation, facilities, catering, transportation, A/V needs, supplementary resources and materials, and communications
- Coordinates ICUSN Scholarship Program with support of Sr. Manager and Manager, Team Operations & Logistics
- Oversees registration and customer service operation needs for designated ICW engagements by managing event registration platforms, verifying participant registrations, and resolving any issues that arise
- Support check-in, volunteer/judge coordination, on-site customer service, event strike responsibilities, and patent sponsor recaps
- Ensure assigned tasks and project requirements are fully understood, accurately executed, and delivered according to expectations
- Contributes to the effective team management in supporting problem-solving, sharing expertise, and assisting in cross-functional partners
- Performs additional assignments as directed to ensure successful program delivery

Your Qualifications
- Associate degree or 2+ years of equivalent experience in education or other STEAM related experiences
- 3+ years of experience in project coordination, within school or visitor audience environments preferred
- Experience coordinating exhibitions, programs, special events or other related multi-disciplinary team projects
- Proficiency with Microsoft Office software
- Project management software experience preferred (Workfront, Monday.com, MS Project, etc.)
- Must be available for occasional work outside standard Monday–Friday, 9 a.m.–5 p.m. hours based on project needs
