    Job Summary

    The Inventory Clerk Specialist is responsible for maintaining accurate inventory records, processing inventory-related vendor invoices, supporting purchasing and receiving activities, and ensuring timely and accurate transactions.

    The ideal candidate is detail-oriented, organized, comfortable working in both warehouse and office environments, and capable of managing multiple priorities in a fast-paced manufacturing operation.

    Essential Duties and Responsibilities

    • Maintain accurate inventory records within the company inventory system.
    • Process inventory receipts, transfers, adjustments, and inventory transactions accurately and timely.
    • Verify incoming shipments against purchase orders and packing slips.
    • Coordinate with purchasing, production, and warehouse personnel to resolve inventory discrepancies.
    • Assist with periodic inventory validation activities to support and verify the perpetual inventory system.
    • Help ensure inventory quantities and par levels remain accurate through timely transaction entry and discrepancy reporting.
    • Investigate and resolve invoice discrepancies with vendors and internal departments.
    • Maintain organized inventory documentation and filing systems.
    • Ensure proper coding and tracking of raw materials, work-in-process, and finished goods.
    • Secure W-9 documentation and PCH Wichita ACH forms from new inventory-related vendors
    • Review, verify, and process inventory-related vendor invoices accurately and timely.
    • Match invoices to purchase orders and receiving documentation
    • Prepare inventory-related accounts payable batches for approval and payment
    • Reconcile inventory related vendor statements, assist with month-end closing activities, and report open receipts without invoices at month end
    • Ensure compliance with company purchasing and accounting procedures.
    • Maintain organized digital and physical accounts payable records for inventory related payables.
    • May perform limited receptionist duties when not on warehouse floor.
    • Support inventory audits and reporting requests.
    • Follow company safety policies and operational procedures.

    Qualifications

    • Demonstrated attention to detail and organizational skills.
    • Ability to work independently and collaboratively as part of a team.
    • Strong written and verbal communication skills.
    • Building materials knowledge a plus.
    • Ability to prioritize tasks and meet deadlines.
    • Basic computer proficiency, including Microsoft Excel, Outlook, and general office software.
    • Operational awareness and understanding of company processes and how this role supports manufacturing, purchasing, accounting, and operations.
    • Willingness and ability to learn inventory control and accounts payable procedures.

    Preferred Qualifications:

    • Previous experience in inventory control, administrative support, manufacturing, construction, or industrial operations

    • Basic understanding of accounting principles and inventory processes.
    • Experience using inventory, accounting, or business management systems such as QuickBooks, Striven, or similar platforms.
    • Familiarity with purchase orders, receiving procedures, and inventory documentation.
    • Experience supporting perpetual inventory systems or inventory validation activities.
    • Basic understanding of inventory processes.

    Physical & Environmental Requirements

    • Ability to stand, walk, bend, kneel, climb, and reach throughout the workday.
    • Ability to lift up to 50 pounds with or without reasonable accommodation.
    • Ability to work indoors in a warehouse environment with noise, dust, and varying temperatures.
    • This position operates in a combination office and manufacturing/warehouse environment.

    Work Schedule & Benefits

    • Full-time schedule, standard first shift hours Monday–Friday
    • Overtime may be required based on production needs.
    • Paid Time off after 90 days
