Job Overview
The Inventory/Receiving Clerk is responsible for maintaining accurate inventory records and managing the receiving of all incoming materials. This role ensures that stock is properly inspected, recorded, organized, and readily available to support production, warehouse operations, and customer needs. The ideal candidate is detail-oriented, organized, and able to work in a fast-paced environment that requires precision and strong communication skills.
Key Responsibilities
Receive, inspect, and verify incoming shipments against purchase orders or packing lists.
Unload and unpack incoming materials; check for damage, shortages, or discrepancies.
Label, document, and stock incoming goods in designated locations.
Record received items accurately and promptly in the MRP/inventory system.
Communicate receiving issues or discrepancies to Purchasing or Supervisors.
Maintain accurate and up-to-date inventory records using the company’s MRP system.
Enter inventory transactions, including received, issued, transferred, or adjusted items.
Monitor stock levels and notify supervisors of shortages, discrepancies, or slow-moving items.
Ensure all inventory documentation is complete, accurate, and filed correctly.
Assist with cycle counts and year-end physical inventory.
Compare physical stock counts to system data and identify variances.
Tag, label, and identify inventory for accurate tracking and auditing.
Organize inventory and receiving areas to ensure efficient storage and easy access.
Follow established storage and handling procedures to prevent damage or loss.
Move materials between departments when needed, using proper equipment.
Maintain a clean, orderly, and safe work environment.
Prepare and package items for shipment following company and customer requirements.
Create shipping labels, bills of lading, and other shipping documents.
Coordinate pickups with carriers and provide required paperwork.
Provide customers with shipping and receiving documents when necessary.
Maintain organized records of all receiving and inventory transactions.
Generate inventory or receiving reports as needed.
Support internal and external inventory audits.
Work closely with purchasing, production, customer service, warehouse teams, and carriers.
Provide timely updates on inventory availability, receiving issues, or shipping requirements.
Deliver excellent customer service to internal and external stakeholders.
Follow company safety protocols and proper handling procedures.
Operate forklifts, pallet jacks, and other warehouse equipment safely (training provided if needed).
Report unsafe conditions, damaged materials, or equipment malfunctions.
Qualifications
Education
High school diploma or equivalent required.
Experience
1–2 years of experience in inventory, receiving, shipping, or warehouse operations preferred.
Experience with an MRP or inventory management system strongly preferred.
Skills
High accuracy and strong attention to detail.
Basic computer and data-entry skills.
Strong organizational and time-management abilities.
Good verbal and written communication skills; bilingual Spanish strongly preferred.
Ability to work in a fast-paced environment and follow established processes.
Strong customer service skills.
Preferred Qualifications
Experience with barcode scanners or inventory tracking systems.
Forklift certification or experience with material-handling equipment.
Knowledge of inventory control best practices.
Physical Requirements
Ability to stand, walk, bend, reach, and perform physical tasks for extended periods.
Capable of lifting up to 50 lbs. as needed.
May require climbing ladders or operating warehouse equipment.
Working Conditions
Warehouse and receiving environment.
Exposure to varying temperatures, noise, and physical activity.
Must follow all safety guidelines and procedures.
