    POSITION DESCRIPTION

    Assists with the administration of retirement and health and welfare employee benefit programs. Ensures compliance with all applicable state and federal regulation. Responsibilities include explaining benefits and assisting in the business development and planning processes with service providers. Compiles, analyzes, and reports data including employee, plan financials for strategic benefits planning and evaluation. Provides benefit plan interpretation and guidance to employees, HR representatives, and managers. Presents analysis and trends to inform management decisions.

     

    ESSENTIAL DUTIES AND RESPONSIBILITIES OF A BENEFITS SPECIALIST

    The benefits specialist is responsible for assisting with the administration of all benefits and retirement programs, including medical, dental, vision, life insurance, short- and long-term disability, and 401(k) plan.

    • Ensure the accuracy of all benefits enrollments in the PlanSource system to provide vendors with accurate eligibility information.
    • Facilitate new hire US Benefit orientation and maintain materials and presentations. 
    • Support employees with benefits claim issues and plan changes.
    • Serve as liaison between vendors and team members to facilitate issue resolution.
    • Serve as primary point of contact for HR regarding benefit plan inquiries and policies.
    • Assist with the Leave of Absence Administration escalations.  Interpret FMLA, disability, workers’ compensation, and ADA policy and regulations to ensure compliance.
    • Responds to 401(k) inquiries to enrollments, plan changes and contribution amounts.
    • Assist with the annual Deferred Compensation Plan enrollment.
    • Manage ACA compliance, including oversight of PlanSource system tracking and review of ACA compliance monthly.
    • Support the annual benefits Open Enrollment process and assist with communications.
    • Perform benefit plan audits and ongoing data validation to ensure regulatory compliance.
    • Assist with processing carrier invoices.
    • Coordinate wellness initiatives and identify trends to enhance employee engagement and experience.
    • Analyze and report on benefit plan data to optimize program offerings.

     

     

    REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

    • Knowledge of laws and regulations including but not limited to ERISA, FMLA, HIPAA, COBRA, OSHA, PPACA.
    • Excellent written and verbal communication skills.
    • Must have superior analytical skills.
    • Excellent customer service and interpersonal skills.
    • Ability to use sound judgment.
    • Excellent organizational skills and attention to detail.
    • Working understanding of human resources principles, practices, and procedures.
    • Ability to function well in a fast-paced environment.
    • Excellent time management skills with a proven ability to meet deadlines.
    • Must have good decision-making ability.
    • Ability to work both independently and as part of a team.
    • Proficient in Microsoft Office (Excel, Word and PowerPoint)

    EDUCATION AND EXPERIENCE

    • Bachelor's degree in human resources or related field
    • 3 years of benefits administration experience.
    • Experience managing health and welfare and retirement plans is required.
