    WHAT MAKES THIS ROLE IMPORTANT AT IPSOS?

    The Office Manager/Executive Assistant will have a proven track record of success in a fast-paced environment.   Candidate must possess a sense of urgency and balance this with the ability to deliver on the details.  The successful candidate works diligently to learn about the business and juggle multiple priorities.

     

    WHAT YOU CAN EXPECT TO BE DOING:

    • Oversee all office operations, equipment, maintenance, service contracts and systems
    • Maintain inventory of office supplies and equipment.
    • Draft and distribute correspondence, memos, and other documents and reports, which require the use of office technologies and software applications.
    • Coordinate meetings, conferences and travel arrangements for certain individuals as assigned
    • Maintains strong vendor relationships, interfaces with internal and external clients and contacts regarding administrative issues and concerns.
    • Works closely with IT to resolve technology issues
    • Leads and actively participates in Social Committee meetings; proactively coordinates office events, social activities and charitable giving initiatives
    • Maintains documents and records in appropriate files
    • Assists management in special projects
    • Preserve confidentiality and demonstrate sound judgment regarding sensitive matters
    • Organizes work information to ensure accuracy and maintain confidentiality.
    • Performs other essential duties as assigned
    • GENERAL OFFICE ADMINISTRATION
      • Management of conference room schedules and calendars of certain individuals as assigned
      • Organize meetings, conference calls and Town Hall sessions for entire office and/or individuals as assigned
      • Maintain Business Continuity Plan for office
      • Work closely with building management on all building-related issues, maintenance, and improvements
      • Manage office-wide communications, along with correspondence for certain individuals as assigned
      • Invoice and budget management
      • Work closely with HR, IT and managers to coordinate New Hire orientation, tours and off-boarding as needed
      • Works with Office Leader to implement changes and build/maintain office morale through various efforts
    • TRAVEL ARRANGEMENT
      • Hotel, airline, and other necessary bookings for certain individuals as assigned
      • Expense submission and reimbursement follow-up

     

    THIS MIGHT BE THE JOB FOR YOU IF YOU HAVE:

    • Completed Bachelor’s Degree level of education.
    • Solid organizational skills including ability to prioritize and coordinate multiple tasks; Excellent attention to details.
    • At least five years’ working experience, preferably in a large, matrix environment.
    • Expertise in Microsoft Office applications, specifically Outlook, Word, Excel and PowerPoint.
    • Detailed oriented.
    • Extensive background with scheduling, arranging, and managing meetings and travel accommodations.
    • Excellent communication and interpersonal skills.
    • Excellent English writing skills.
    • A creative problem solver with a ‘hands-on’ approach to providing solutions.
    • Pro-active initiative in sourcing information.
    • Willingness to learn and grow.
    • Effective written and verbal communication skills including professional phone etiquette.
    • Good internal/external customer interactive skills.
    • Ability to exercise tact and discretion.
