Position: Dispatch Operations Specialist
Location: Greater Houston Area
Summary
Our client is a family-owned and operated portfolio of businesses in the light industrial and transportation sector. The Dispatch Operations Specialist is a key position within the organization. This role provides critical support between sales, dispatch, accounting and operations. Assist with a diverse set of projects including but not limited to project invoicing, expenses, inventory tracking, fleet tracking, job/project documentation, documentation management, ticketing management, etc.
Job Responsibilities and Functions
- Assist the lead Disaptcher in all facets of dispatch operations including answering incoming calls, routing, and customer service.
- Assist accounting team and sales team with reviewing and compiling billing documentation in a timely and accurate fashion.
- Ensure all job and project paperwork is archived including contracts, receipts, and tickets.
- Participate in audit projects as designated by the accounting team.
- Understanding of existing and potential customer deliverable expectations and preferences.
- Ability to effectively discuss and correspond with parties to ascertain and understand pertinent information concerning schedules, project details, estimates and/or project costs.
- Responsible for monitoring invoicing and billing to ensure that sales team data is accurately reflected to accounting department.
- Responsible for supporting client retention efforts and maintaining ongoing client communication and satisfaction.
- Responsible for identifying areas of improvement and making suggestions for those improvements in regard to process, methodology, and personnel.
- Perform other duties of a clerical nature as assigned or directed.

Experience:
- At least 2 years of experience in a sales support capacity.
- Experience in sales support to commercial construction, light industrial, trucking, and/or waste management companies strongly preferred.
Requirements:
- High school diploma or equivalent required.
- At least 3 years of dispatch experience for dump trucks or similar materials-related vehicles.
- Proficient computer skills using MS Office tools including Outlook and Excel required.
- Excellent communication skills and business acumen.
- Ability to communicate fluently in English (written and verbally).
- Ability to perform job duties in a rapidly changing environment with competing priorities and sometimes under stress.
- Must possess the minimal experience listed above and requirements outlined herein.

Work Environment
This position operates largely in an office environment.
Physical Demands
In the performance of the duties and responsibilities of this job, the employee is required to have visual acuity to operate a motor vehicle and view a computer terminal. While at work, the employee may be expected to sit, walk, and stand. Individual might be asked to climb, balance, stoop, kneel, crouch, reach, and/or crawl. Individual might be required to lift, carry, push, or pull up to 50 lbs. in the performance of this position.
