    Job Description

    POSITION SUMMARY:

    The Development Associate will provide administrative, database, and staff support to the Development Office. This person works under the direct supervision of the Director of Development. A keen understanding of development, constituent relations, fundraising software, and special event support will be necessary.  This person is a self-starter and comfortable with taking initiative in a fast-paced environment.

    POSITION RESPONSIBILITIES:

    FUND DEVELOPMENT

    • Responsible for timely entry of all gifts into Raiser’s Edge. Oversight of record-keeping and accuracy in the Raiser’s Edge database, including biographical information, membership records, relationships, notes and actions.

    • Prepare gift, donor, action, appeal, membership and prospect reports as requested using Excel and Raiser’s Edge capabilities.

    • Prepare donor acknowledgement letters and other correspondence.

    • Coordinate and prepare development mailings such as annual giving appeals, special event invitations, and membership renewals.

    • Provide general support for multi-year Capital Campaign.

    • Conduct prospect research as requested.

     

    MEMBERSHIP

    • Assist with comprehensive membership program including outreach, preparation and mailing of membership cards and renewal notices.

    • Handle all membership inquiries in a friendly and timely manner.

    • Participate in all member special events throughout the year.

    • Ensure accuracy of membership records in program registration software.

     

    DATA MANAGEMENT

    • Perform daily maintenance and enhancement of donor, prospect, event participant, and other constituent records using Raiser's Edge, Doubleknot, and associated systems.

    • Create queries, exports, reports, and mailing lists as needed.

    • Responsible for importing new constituent data from various sources on regular basis

    • Designs and updates timely fundraising dashboards and provide donor updates to the Development Team.

     

    SPECIAL EVENTS

    • Provide administrative support for annual fundraising gala (Pumpkins on the Green) which includes auction data entry, entering ticket payments, sending invoices, tracking attendance numbers, and other special requests.

    • Participate in other development and membership events throughout the year.

     

    ADMINISTRATIVE

    • Provide administrative support for Director of Development and other Development staff members as assigned. 

    • Maintain, update and ensure accuracy of development and event calendars.

    • Maintain and file electronic and hard copy development documents.

    • Other duties and responsibilities as requested.

     

    QUALIFICATIONS NEEDED:

    • Bachelor’s degree preferred
    • Proficiency in Microsoft Office, particularly Word (specifically mail merges and formatting) and Excel (specifically reports and formulas) and overall computer literacy
    • Experience with fundraising databases (Raiser’s Edge preferred)
    • Familiarity with office technology including printers, postage meters, and multiline telephones
    • Willingness to learn and grow as a development professional
    • Excellent interpersonal skills
    • Strong research and analytical skills
    • Superb professional judgment
    • Attention to detail and organization
    • Ability to work well with others
    • Strong interest in fundraising activities
    • Knowledge of and enthusiasm for Irvine’s mission

     

    TIME COMMITMENT: This is a full-time support position which requires approximately 40 hours of work per week.
