    Job Description

    PURPOSE OF POSITION

    The Accounting Associate – for Property Management provides support to the Finance Department and has administrative, bookkeeping, clerical, accounts payable, and accounts receivable duties. The Associate enters invoices, writes checks, prepares accounting reports and maintains accounts payable and receivable ledgers. The Associate frequently communicate with vendors, customers and different departments in the organization to resolve outstanding payments and records fiscal transactions, and balances and reconciles accounts.

    Salary range: $35,000 through $38,000

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    Accounts Payable

    • Accurately monitor and track purchase orders and invoices
    • Reconcile and maintain vendor and contractor accounts
    • Processes payouts and enter in accounting program
    • Write checks
    • File paid invoices

    Accounts Receivable

    • Accurately record cash receipts and rental payments
    • Prepare bank deposits
    • File cash receipts and deposit slips in appropriate binder/book

    Financial Management

    • Reconcile bank accounts
    • Enter budgets into accounting software
    • Assist with balancing prepaid expenses.
    • Assist with processing security deposit refunds and balancing tenant security accounts.
    • Review filed payouts quarterly to make sure they are filed correctly and have all appropriate signatures, check numbers and date stamped paid.

    Audits

    • Assist with annual gathering of information for fiscal and funder specific monitoring audits.
    • Review related general ledger accounts for accuracy and help detect allocation errors. Make any necessary copies and other tasks needed.

    SUPERVISORY

    Report to: Accounting Manager – Property Management

    Supervises: No other staff

    Salary range: $35,000-$38,000

    Qualifications

    EDUCATION & EXPERIENCE

    High school diploma or equivalent with a minimum of three to five years of prior accounting/bookkeeping experience. Excellent attention to detail and demonstrated ability to handle complex tasks. Ability to work independently on multiple projects and manage competing priorities.

    Intermediate proficiency in MS Word and MS Excel.

    Preferred : Intermediate proficiency in fund accounting and associated software.

    Personal qualities of integrity, credibility, and a commitment to the INHS mission to revitalize neighborhoods and to assist low to moderate income people in obtaining quality housing on a long-term basis.

    TRAVEL

    Travel outside of the service area, including out-of-county, will occur occasionally. A valid driver’s license and access to transportation is not required.
