    Job Description

    The Project Manager (PM) is a dynamic role vital to the success of our business. The PM is responsible for managing all aspects of projects including but not limited to recruitment efforts, cost, and overall profit margin. Acting as a liaison between clients and various departments within ISA. Coordinate all components of the study from the beginning to the end.

    The PM will be part of a fast-paced team environment and expected to work on their own drive and initiative. Job success is based on having excellent communication, organization skills, and customer services skills coupled with the ability to provide fast-turnaround information both internally and externally. The PM is expected to manage their own time and operate with little supervision.

    This position is currently remote. However, we are looking for someone In the Orange County or Los Angeles, California area.

    ESSENTIAL DUTIES AND RESPONSIBILITIES

    • Alert appropriate departments of new projects.
    • Responsible for bids for certain clients and responsible for assisting with bids for other clients.
    • Alert Accounting to process credit checks on new clients.
    • Confirm project parameters, specifications, dates, etc. and reserve focus room for the client if applicable.
    • Assist with scheduling of appropriate staff to recruit and host.
    • Brief Floor Manager and Recruiting Supervisor and other necessary personnel on aspects of the project.
    • Monitor the participant recruitment process and work with Managers when problems in this area occur.
    • Oversee the facility set-up process to ensure that the room(s) are set up per client instructions and that all food and equipment are set up in accordance with client expectations.
    • Provide detailed information to host staff regarding client needs for the project.
    • Monitor project productivity and progress.
    • Inform the client of spec changes and cost and/or timing implications.
    • Maintain study files including all client communication records.
    • Monitor study for problems and make recommendations to ensure the client receives quality service and data and to ensure that the company operates project within original or revised budget parameters.
    • Maintain constant communication with the client and internal departments regarding changes in the project. Report changes to all appropriate personnel.
    • Produce, review, and send reports to clients.
    • Prepare advance billing documentation and purchase orders for honoraria and invoice and bill client at closing.
    • Overall, act as a liaison between client and company to ensure projects are managed properly, timely and within budget.
    • Due to the nature of this position, the Project Manager is required to be "on-call". Project Managers must be available before and after business hours to respond to client requests or internal employee questions regarding their projects. The Project Manager must be available to solve problems with their projects and to be able to answer questions therefor a requirement of this position is to wear a pager or cell phone and respond to pages or calls per the "On-Call Policy". When the Project Manager is unavailable to receive pages or calls, the Project Manager must arrange for back-up coverage that is approved by the Vice President.

    NON ESSENTIAL FUNCTIONS

    • Help set up focus rooms including moving chairs, tables, and equipment.
    • Coordinate with outside field services and interviewers when necessary.

    SUPERVISORY RESPONSIBILITIES

    Although the Project Manager does not directly supervise staff, the Project Manager is responsible to ensure that their projects are running according to budget and according to client specifications. This may require the Project Manager to assist with the training and supervising of recruiters and/or hosts.

    QUALIFICATIONS

    EDUCATION and/or EXPERIENCE

    High School graduate or equivalent and five years related experience, or equivalent combination of education and experience. Requires good working knowledge of Excel and Word, must be detail-oriented, and have the ability to multi-task. Must be service-oriented.

    LANGUAGE SKILLS

    Ability to read and interpret documents such as operating and maintenance instructions. Ability to write routine reports and correspondence. Ability to speak effectively with clients and employees of the organization.

    MATHEMATICAL SKILLS

    Ability to add, subtract, multiply, and divide all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratios, percent, means, and averages. Ability to perform algebraic formulas. Ability to interpret bar graphs.

    REASONING ABILITY

    Ability to solve complicated problems, ability to analyze data. Must have strong logic skills. Ability to interpret a variety of data.

    PHYSICAL DEMANDS

    While performing the duties of this job, the employee is regularly required to talk and hear. The employee frequently is required to sit, use hands to finger, handle, or feel. The employee is occasionally required to stand, walk, stoop, kneel, or reach with hands or arms. The employee must occasionally lift and/or move up to 10 pounds and rarely lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision and the ability to identify and distinguish colors.
