    Job Description

    POSITION SUMMARY:

    The HR ONBOARDING SPECIALIST is responsible for the onboarding of new staff members, interns, per-diems and volunteers. The Onboarding Specialist will serve as the main point of contact and handle all required steps for onboarding a new hire after the individual has accepted the offer through the completion of all new hire onboarding activities, which includes New Hire Orientation, CORE training, etc. The Onboarding Specialist will facilitate the entire pre-boarding process, providing key updates to the candidate, the manager and other members of the HR team. The goal of the Onboarding Specialist is to ensure that new members of JCCA have a positive and successful onboarding experience and are fully in compliance with all new hire requirements. This work is in support of the mission and goals of JCCA.

    RESPONSIBILITIES:

     Pre-Employment Onboarding

    • Commence the onboarding process by creating and sending welcome emails with information regarding background, employment physical, etc. to external, internal hires, and status changes.
    • Serve as point of contact between candidate and hiring manager.
    • Update onboarding tracker with the submission date and clearance date for all background screenings on a daily basis. 
    • Launch the Pre-employment process to complete all required clearances per regulatory requirements – including but not limited to fingerprints, SCR, SOR, SEL, toxicology screening, health assessment, etc.
    • Follow onboarding and notification procedures with appropriate departments (e.g., hiring manager, IT and Payroll) to ensure new employees are set-up with the necessary resources, scheduled for new employee orientation and direct deposit. 
    • Coordinate schedule for new hire to obtain technology equipment from IT – laptop, cell phone, etc.
    • Utilize onboarding checklist to confirm all clearances were completed and all required documents have been collected for the employee file.
    • Send welcome email, along with the corresponding training schedule/agenda to all new hires before they start.
    • Work with HRBP, as necessary in relation to candidate requests, such as start date changes, or background results in question.

    QUALIFICATIONS:

    • High School Diploma required; Associates degree preferred.
    • Minimum two years of relevant work experience in a mid to large size organization with a multi-site setting, preferably non-profit or community-based agency
    • Experience with using HR tools & technology, such as applicant tracking systems and/or HRIS modules, is preferred
    • Demonstrated ability to manage confidential and sensitive information in an appropriate manner
    • Excellent verbal and written communication skills – will regularly communicate with candidates and employees in person, by phone, and email
    • Must have excellent time management skills, with the ability to handle multiple assignments and meet deadlines
    • Proficiency using MS Work, Excel and Power Point
