RECEPTIONIST
DESCRIPTION: Answer all incoming phone calls, greet visitors, distribute mail correspondence and assist on typing contracts and special projects as needed.
DUTIES AND RESPONSIBILITIES:
Ø Answers, screens and logs all incoming calls on daily phone log.
Ø Greets all visitors and directs to appropriate location.
Ø Maintains filing system and files all correspondence daily.
Ø Sorts & distributes all incoming mail, interoffice packages and faxes as needed daily.
Ø Processes all outgoing mail
Ø Maintains petty cash and postage meter funds.
Ø Orders & organizes office supplies.
Ø Types contracts & correspondence as needed.
Ø Assists management on special projects as needed.
Ø Distributes new job list to office personnel and all branch offices.
Ø Maintains list and mails out greeting cards for all employee birthdays and anniversaries.
Ø Assists in setting up hotel reservations for management as needed.
Ø Completes other tasks as assigned.
REQUIRED QUALIFICATIONS:
Ø Education and/or 2+ years’ experience as a receptionist or administrative assistant.
Ø High school diploma or equivalent.
Ø Ability to speak English fluently
Ø Fluency in Spanish a plus, but not necessary
Ø Ability to type letters memos, etc. which can be easily understood by recipient.
Ø Ability to type 55 words per minute.
